Position Summary:

This position serves as the primary liaison for the Department of Mathematics events management and travel coordination. The role of the Community Engagement Specialist works in collaboration with the Financial Specialist Sr. and department faculty to ensure the department provides high quality, smooth running events and conferences. In conjunction with the Department Manager, the position serves as primary department contact for social media and the Wisconsin
Foundation & Alumni Association.

The incumbent will serve as department contact for arranging travel, lodging, and necessary catering for multiple multi-day conferences/workshops per year (100+ attendees per conference); assisting with travel arrangements for around 6 visitors per week (domestic and international) during the academic year for seminar, colloquia, and research collaboration; about 5-7 annual single-day events (awards, visit day, graduation, etc.); and at least 2-4 UW Foundation or donor/alumni recognition events per year.

Minimum Years and Type of Relevant Work Experience:

Required Qualifications:
Excellent verbal and written communication skills
Experience using Excel or Google Docs for coordinating, processing, and tracking data
Excellent interpersonal skills including ability to work with people from a wide variety of backgrounds, cultures, and levels of education

Preferred Qualifications:
1-3 years event management or travel coordination experience preferred
and/or:
Experience applying complex policies/procedures related to handling confidential traveler information
Experience managing communications to employees regarding scheduling information
Experience comparing data from various sources to ensure accuracy in processing travel transactions.

Work Schedule:

M-F 7:45 - 4:30pm M-F. Schedule details to be finalized upon hire. Occasional evening/weekend hours will be required as needed to accommodate department events.

This position requires some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. Final schedule to be determined upon hire.
