Administrative Assistant, Health Sciences (Part-time)

Job Summary:
This is working 25 hours per work and is a non-exempt, hourly position. Provides administrative support to the Dean of Health Sciences, the Director of the Health Sciences, Health Science program faculty and staff, and students. These responsibilities include, but not limited to, supporting the Health Science Office, handling student, employee, and public requests and complaints, maintaining confidential information.

Essential Functions:
1. Greets students, employees, and visitors; responds to and processes telephone and provides students with assistance and information regarding Health Science programs.2. Maintains highly confidential material related to employees, students, and college initiatives.3. Assists in the onboarding of new Health Science faculty and staff.4. Maintains copy machines and office workroom. Orders and maintains supplies for Health Science programs and maintains electronic inventory of supplies and equipment; picks-up, sorts, and delivers mail for Health Science faculty and staff; and maintains mailbox assignments. Processes invoices, check requests, and purchase requisitions for approval by the Dean of Health Sciences, Director of Health Sciences, and Program Chairs.5. Supports student recruitment activities, program advising program/student data collection/dissemination for both credit and non-credit Health Sciences programs.6. Assists with registration, and intake for non-credit Health Science programs, including CNA and CPR.7. Assists with the Health Sciences annual academic class schedule.8. Collects and stores syllabi for Health Science programs9. Supports updates to annual Health Science program documents, such as: applications, brochures, handbooks, etc.10. Supports scheduling of community members as volunteers for Sonography student scanning practice during the Fall and Spring semesters.11. Schedules faculty performance appraisals, classroom observations and evaluations.12. Supports the coordination of Health Science Advisory Committee meetings and maintains meeting minutes.13. Supports linen processing for Health Science programs.14. Collaborates and supports Health Science event set up and preparation, for example: Health Science Expo, program orientations, departmental tours, etc.15. Assist with maintenance of student document records and electronic archives.16. Serves as support staff for various College committees as appointed.17. Coordinates posting of class cancellations for Health Science classes. 18. Provides back-up for the full-time Administrative Assistant, Health Sciences

Other Duties:
1. Performs other duties as assigned.

Accountabilities:
Under supervision of the Dean of Health Sciences, performs administrative functions required to support the Health Sciences Office

Job Specifications:
High School diploma or equivalent required. Associate degree preferred. Two or more years of administrative experience in a college or university setting preferred. Good communication and grammar skills; proficient in proofreading. Strong software and computer skills including the integration of word processing programs, spreadsheets preferred.

Part time staff are not employed directly by Lake Michigan College with a few exceptions based on MSPERS retirement program. All others are employed thru EDUStaff, LLC.
