This position will provide administrative support to the Senior Director, Student Living and the Director of Residence Life. Provides support for various department functions including committees, student conduct, and crisis response. The administrative assistant serves as a resource for the students, staff, and the public and is responsible for maintaining close working relationships with a variety of offices and academic departments of the University. This is a twelve-month position. Qualifications

Associate’s Degree Required

Experience Requirements (minimum):
  • 2-4 years administrative experience working in an office environment.
  • Knowledge and understanding of standard office practices and procedures.
  • Customer service or managerial experience communicating with internal and external stakeholders, in person and/or on the telephone.
  • Understanding of cultural differences, and an ability to work with a large, diverse team.
  • Demonstrated organizational skills, ability to handle multiple requests in a fast-paced environment.
  • Demonstrated interpersonal skills, diplomacy, tact, discretion, confidentiality.
  • Proficiency in Microsoft Office, including Teams.
  • Experience in setting priorities and goals; effectively manages work.
  • Demonstrated ability to communicate effectively, verbal, non-verbal, and written.
Job Specific Qualifications
  • Proficient in Microsoft Word Office, Excel, Access, Adobe, PowerPoint, e-mail, and other computer programs required.
  • Knowledge of PeopleSoft preferred.
  • Strong organizational, interpersonal, and attention to detail skills is a must.
  • Ability to handle sensitive and confidential information is required.
  • Demonstrated ability to prioritize and deal with multiple demands.
  • Ability to conduct basic on-line research and benchmarking.
Responsibilities
  • Administrative Support for Sr. Director, Student Living and Director of Residence Life
    • Manage calendars for Sr. Director and Director
    • Schedule meetings, assists with agendas and meeting materials, reserves rooms, coordinates catering, triages phone calls, assists with travel (limited), etc. for the Sr. Director and Director
    • Collate and distribute reports and memos, prepare communications, write and edit documents, create and maintain filing systems (electronic and / or hardcopy)
    • Coordinate weekly and/or monthly updates (residential education activities, assessment metrics, package / mail metrics, etc.) for the sr. director / director.
    • Read, research, and route correspondence for the Sr. Director / Director. Collects and analyzes information to draft and respond to correspondence.
    • Reviews all end-of-year reports to pull relevant assessment data.
    • Works with the Sr. Director to prepare the annual report.
    • Completes special projects for the Sr. Director / Director.
    • Prepare and maintain files of confidential nature.
  • Departmental Process Support
    • Coordinate administrative process for conduct and departmental standard violations using the University’s conduct software.
    • Maintain accurate judicial and departmental standard violations records and databases.
    • Works as a liaison for the Office of Residence Life & the Office of Students Rights & Responsibilities
    • Submit monthly judicial and departmental standard reports to the Director of Residence Life.
    • Prepare the on-call report on a weekly basis.
    • Provides correspondence from the OSL for students involved in crisis response processes.
    • Coordinates administrative aspects of fall and spring building tours with the Office of Admissions and residential building staff.
    • Coordinates internal brown-bag learning and development activities for administrative staff.
  • Other Duties as Assigned / Professional Development
    • Serves on and provides administrative support to one of the Office of Student Living foundational committees (Assessment & Strategic Planning, RA Training, Leadership, etc.) as needed. Serves on other Office of Student Living, divisional, or university committees as assigned.
    • Cover phones, email, and the front entrance desk on an as needed basis.
    • Evening / weekend hours are infrequent, but possible at critical times.
    • Other duties as assigned.
    • Participate in the formal and informal evaluation process.
    • Participate in formal and informal training.
    • Attends a minimum of two diversity, equity, and/or inclusion development sessions / year.
    • Participate in campus opening / Syracuse Welcome. Volunteers for various departmental, divisional, and campus initiatives when needed / as interested / as approved.
    • Adhere to Association of College and University Housing Officers-International ( ACUHO -I) and American College Personnel Association ( ACPA ) ethical standards.
