Provides support in a variety of the more complex, administrative and financial duties in accordance with standard procedures.

  1. Initiates the creation of cost centers with Division of Research (DOR) according to the terms of awarded projects (grants) and modifies cost centers according to revised award notices.
  2. Reconciles the units financial accounts, monitors expenditure budgets and participates in the annual budget development and review process.
  3. Evaluates expenditure transfer documents according to federal, state and university guidelines for allowability, appropriateness and timeliness.
  4. Compiles recurring and ad hoc financial reports for management and faculty, advising on status of accounts. Serves as initial review of financial documents for accuracy and availability of funds.
  5. May serve as liaison to Office of Grants and Contracts (OCG) regarding financial issues, as well as creating, analyzing and reviewing contracts in conjunction with the Research Contracts Officer/College Research Administrator and Community Grantees.
  6. Provides guidance to department and college business administrators and faculty members on all fiscal and administrative grant-related matters.
  7. Researches sponsors financial and administrative regulations applicable to funded projects.
  8. Coordinates project related activities with project team, ensuring Grantee needs are addressed.
  9. Ensures adherence to sponsor and institutional requirements, ensures observance of federal, state and university compliance requirements; verifies that all governmental certifications requirements are addressed.
  10. Performs other job-related as duties as assigned.

Experience:

Knowledge of financial business contract development and implementation or willingness to do so. Excellent time management skills to process timely payments of community partners, contracts, and vendor invoices. Outstanding communication skills with internal departments and external community partners to answer questions and resolve invoice and payment issues. Experience with human resource tasks. Knowledge, effective communication and organization regarding employee matters.
  • Proficient in budget management in Excel Spreadsheets

Additional Job Duties:

  1. Supports reconciliation of the Center’s financial accounts, monitors expenditure budgets and participates in the annual budget development and review process (including Travel Cards, Procurement Cards, and Global Card Management System {GCMS})
  2. Support of preparation of financial documents; serves as initial review of financial documents for accuracy and availability of funds, including creation of PaymentWorks, contracts, sub-awards, invoices and vouchers
  3. Process of vouchers, preparing budgets and reconciliations in Excel Spreadsheets and other financial reports
  4. Researches sponsor’s financial and administrative regulations applicable to funded projects
  5. Coordinates project related activities with the Center’s team ensuring grantee needs are addressed
  6. Ensures adherence to sponsor and institutional requirements, ensures observance of federal, state and university compliance requirements; verifies that all governmental certifications requirements are addressed
  7. Provides guidance to Center Research Administrator 2 (RA2) and Director and Center Staff on all fiscal and administrative grant-related matters
  8. Serves as the support person for RA2 for HR related tasks (creation of open positions in the Center, interviewing and hiring committee, employee onboarding and training, payroll, benefits, etc.)
  9. Serves as Center’s travel coordinator and will reconcile SUSTAIN Center’s Travel Card (travel arrangements, travel reimbursements, reconciling of Travel Cards and Procurement Cards)
  10. Provide administrative support to Center’s RA 2 and Faculty/Principal Investigator (PI)
  11. Manage Center’s Business Amazon account and ordering of office and staff supplies
  12. Works well independently and as part of a multidisciplinary team to meat urgent deadlines and timelines


SUSTAIN Center Description:

About the SUSTAIN Wellbeing Coordinating Center

The SUSTAIN Wellbeing COMPASS Coordinating Center exists to enhance HIV/AIDS prevention efforts by incorporating attention to the role of wellness, trauma, mental health, and substance use, and to increase HIV treatment engagement. Efforts are focused primarily in the Southern United States that have the highest rates of HIV/AIDS. The SUSTAIN Wellbeing COMPASS Coordinating Center works closely with the other two COMPASS Coordinating Centers (the COMPASS Capacity Building and Shared Knowledge Needs Coordinating Center and the COMPASS Awareness, Education and Anti-Stigma Campaign Needs Coordinating Center) to coordinate and synergize efforts, minimize redundancy, and ensure the efficient use of resources.

The work of the SUSTAIN Wellbeing COMPASS Coordinating Center will ultimately: (a) reduce new HIV infections through intensifying HIV prevention efforts in communities in the South where HIV is most heavily concentrated, and expand efforts to prevent HIV infection using a combination of effective, evidence-based approaches that tackle wellness, mental health, trauma, and substance use; and b) increase access to evidence-based, culturally-competent, individualized care, with increased treatment engagement and improved health outcomes, for people living with HIV, by taking deliberate steps to increase the capacity of HIV service organizations in the Southern states.

Qualifications :

Bachelors and 3 years experience

Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed.Requires a minimum of three (3) years of directly job-related experience.

Qualifications/Education:
College experience preferred.

Preferred Qualifications:

Preferred, 3 years of relevant work experience in business administration/management, accounting/finances, human resources or related field.
