Job Description

The Periodontics department at the UMKC Dental School is seeking an experienced, customer-service focused Residency Coordinator / Office Support Assistant to join their busy clinic. Located at the front desk of the Clinic, this individual must be able to successfully work with frequent interruptions, while meeting deadlines and producing high-quality work. Successful applicants will have a basic understanding of the importance of patient care. Duties include but are not limited to:

  • Answer departmental phone calls, after-hours messages and emails – including referrals from within the dental school and from private practice health care professionals; route information to appropriate person(s) in a timely manner and answer routine office inquiries using own knowledge of office policies and procedures.
  • Provide direction to dental assistants to ensure clinical setups are completed prior to patient arrival.
  • Maintain dynamic and fluid faculty and resident calendars and properly and promptly update and communicate changes to the calendar.
  • Draft correspondence, reports and other materials as requested. Proofread documents, manuals, reports, referrals and consults for completeness and accuracy before forwarding. Provide final copies for review and signature.
  • Sort departmental mail and information for faculty, staff and residents. Receive and ship packages for the department.
  • Inventory, maintain, and orders supplies and equipment from outside vendors or university departments – including high dollar and sensitive items such as dental implants, biological materials, emergency medical equipment / supplies and controlled / scheduled drugs and narcotics.
  • Select and schedule meeting facilities, equipment, and meals for meetings, ensuring all necessary arrangements are made within the department and with / for individuals outside of the UMKC system.
  • Provide assistance for ongoing or special projects, including research involving patients. Other duties as assigned by supervisor.
  • Develop and maintain professional relationships with the faculty, staff, residents, patients, and colleagues in all units and departments within the dental school and the UM system.
  • Possess excellent communication and organizational skills.
  • Be committed to elite customer service. The Advanced Education in Periodontics Residency Clinic is extremely busy, with constant and continual public contact, including many patients who are seen on an ongoing basis. The individual must make a resilient, professional first impression, and establish strong, positive rapport with patients, referring health care professionals and anyone else in contact with the department.


Minimum Qualifications

  • High school diploma or equivalent and
  • At least 5 years of experience from which comparable knowledge and skills can be acquired is necessary


Preferred Qualifications

  • Previous administrative experience in a patient setting is preferred
  • Advanced Outlook Calendaring and Excel Skills are preferred


Full Time/Part Time

Full time, 100% benefit-eligible, staff position.

Salary

$13.27 to $17.50 per hour, commensurate with experience
