SUBSTITUTE ASSIGNMENT
FACUTY EVALUATIONS ASSISTANT – PART-TIME (30 hours per week)
GROSSMONT COLLEGE

Assignment: October 2021 – October 2022 or until permanent position is filled.

SALARY
The compensation shall be paid at the step of the higher classification which is at least five (5) percent greater than the bargaining unit member's monthly salary, including any longevity increment.

SUMMARY:
Under the direction of an assigned supervisor, perform a variety of responsible duties to organize, compile and process a variety of information in support of the faculty evaluation process; train and provide work direction to part-time employees as required.

EDUCATION:
Graduation from high school or equivalent.

EXPERIENCE:
Two years increasingly responsible clerical experience including some public contact.

CLASS TITLE: FACULTY EVALUATIONS ASSISTANT RANGE 28


SUMMARY:
Under the direction of an assigned supervisor, perform a variety of responsible duties to organize, compile and process a variety of information in support of the faculty evaluation process; train and provide work direction to part-time employees as required.

ESSENTIAL FUNCTIONS
Perform a variety of responsible clerical duties in support of the faculty evaluation process; post records, perform mathematical computations and compile, record and track information from a variety of sources.

Prepare correspondence, memoranda, reports, requisitions, forms, and other materials; proofread and edit written materials to assure accuracy and completeness.

Prepare and maintain a variety of records, logs, files and statistical information related to the faculty evaluation process. Submit faculty evaluation schedules to division deans for review and adjust schedules as appropriate according to established guidelines.

Distribute faculty evaluation packets for completion. Type student comments to evaluation as submitted. Run, compile and deliver evaluation summary reports.

Maintain faculty evaluation software system and troubleshoot issues.

Ensure that the faculty evaluation software system is aligned to current faculty contract language.

Compile information and data from records, files and databases for reports as required.

Respond to data requests and run reports out of evaluations database and provide to administrators.

Operate computer software systems for spreadsheets, word processing, databases, and other related software programs.

Answer telephones and greet the public; provide routine information and assistance to callers, take messages and refer calls or visitors to appropriate personnel; schedule appointments as appropriate.

Work closely with Information Systems and vendors in the appropriate design of scanning materials and equipment.

Duplicate informational materials; package, distribute or file completed copies as required.

Operate office equipment such as personal computers, calculators, copiers, word processors, etc. used in area of assignment.

Receive, sort and distribute incoming mail; mail informational materials, correspondence and other materials as required.

Maintain departmental area(s) in a safe, clean and orderly condition; assure compliance with established safety procedures and regulations.

Maintain currency of qualifications for area of assignment.

SECONDARY FUNCTIONS
Participate in review of technology for faculty evaluations.

Order and maintain adequate stock of office supplies as assigned; prepare and type requisitions according to established procedures.

Attend committee or division meetings.

Provide work direction and guidance to part-time hourly personnel as assigned.

Assist or substitute for other personnel as required.

Perform related duties as assigned.

KNOWLEDGE AND ABILITIES:

KNOWLEDGE OF:
Modern office practices, procedures and equipment, including telephone techniques and etiquette.
Statistical recordkeeping techniques.
Correct English usage, grammar, spelling, punctuation and vocabulary.
Computer software systems for spreadsheets, word processing, databases, and other related software programs to support assigned duties.

ABILITY TO:
Learn and explain the policies, procedures, activities, rules and regulations related to faculty evaluations.
Operate standard office equipment (e.g. personal computer, calculator, copiers, scantrons, etc.)
Develop and conduct presentations to assist in training individuals involved in the evaluation process.
Plan, organize and maintain schedules.
Add, subtract, multiply and divide quickly and accurately.
Understand and follow oral and written directions.
Maintain records and files including statistical information.
Communicate effectively both orally and in writing.
Operate a personal computer including various software packages to enter and retrieve data using keyboarding skills in an efficient and effective manner consistent with requirements of the position.
Establish and maintain cooperative and effective working relationships with others.
Train and provide work direction to others.
Work independently with little direction; plan and organize work to meet schedules and time lines.
Maintain information and files of a confidential and sensitive nature.
