Job Description:

The Assistant Director of Institutional Advancement is responsible for a variety of complex support and management activities for annual giving and alumni relations. This position requires an individual who is highly detail oriented and can manage a dual-reporting structure. This individual must have strong interpersonal and organizational aptitude, excellent written and verbal communication skills, the ability to take initiative and work well independently as well as with others on the IA staff and campus-wide, and enjoy working in a multitasked environment. This individual will have access to and use of confidential information pertaining to donors, alumni, and students and must have a good sense of tact and confidentiality.

Job Duties

Annual Giving

  • Oversee the phonathon program;
    • Recruit, interview, and train phonathon callers. Work with callers on paperwork;
    • Oversee nights of phonathon calling (work hours 1pm - 9pm 4 days/week, 10 weeks/year);
    • Ability to learn and use phonathon software;
    • Complete phonathon post-shift process, including sending pledge reminders, processing credit card gifts, and making database updates;
  • Assist with mailing the Annual Giving anniversary, lapsed, and new donor cards;
  • Assist with planning and execution of annual Giving Day;
  • Recruit graduating students for the student philanthropy program. Work with a committee to solicit classmates prior to graduation. Maintain contacts post-graduation to solicit peers as alumni;
  • Assist with faculty/staff giving program;
  • Cultivate, solicit and steward young alumni donors;
  • Solicit raffle prizes for annual golf tournament;
  • Other duties as assigned.

Alumni Relations

  • Assist with online engagement, specifically Facebook and Instagram posts;
  • Manage behind-the-scenes protocol for all virtual events (manage Zoom and other online products);
  • Assist with the production of Dean Magazine;
  • Assist with all alumni events;
  • Other duties as assigned.

Managerial and Supervisory Responsibilities

  • Supervise student employees for phonathon and special projects.

Hours

  • Monday through Friday, 8:30 AM to 5:00 PM
  • Phonathon hours 10 weeks / year
  • Some evening and weekend work required

Requirements:

  • Bachelor's Degree in a related field, preferred;
  • Three or more years of experience in a not-for-profit development office and/or higher education, preferred;
  • Experience in a phonathon / call center environment, preferred;
  • Strong interpersonal and customer service skills, required;
  • Ability to be flexible and adapt to various work environments, required;
  • Strong organizational skills, required;
  • Work effectively and efficiently in both independent and team environments, required;
  • Ability to maintain confidentiality, required;
  • Strong knowledge of English grammar, spelling, and punctuations (for editing Dean Magazine), required;
  • High technological aptitude (for learning and utilizing various technologies), required;
  • Experience with Microsoft Office Suite (Outlook, Excel, Word, Teams, etc.);
  • Experience with fundraising databases such as Raiser's Edge, preferred.
