Provides support to Advising Center to create student-centric practices and accomplish advising objectives of the College. Provides technical support for data entry, report making, data visualization, and data interpretation. Serves as team member in Advising Center as front-line student service. Required Qualifications:
Education and Experience: Position requires an Associate’s degree plus a minimum of two years office or clerical work experience, or an equivalent combination of related education and experience.
Knowledge and Skills: Requires desire and commitment to work with students and college staff. Requires knowledge and ability to independently learn and understand new software systems; access and interpret data from different programs (Access, SQL, or other databases); and organize and display data to a lay audience. Requires knowledge of general clerical and secretarial practices and principles. Must be skilled in using office equipment including personal computers with word processing, spreadsheet, database and Internet applications. Must have well developed oral and written communication skills.
Abilities: Requires the ability to independently perform the duties of the position efficiently and effectively. Must be able to use word processing, spreadsheet, and Internet applications. Must be able to complete work timely, accurately, and efficiently with frequent interruptions. Must be able to deal effectively with a wide variety of personalities and situations requiring diplomacy, friendliness, poise, and sensitivity, in person and over the phone. Must be able to work respectfully with individuals of all cultures, backgrounds, perspectives, and abilities.
Preferred Qualifications:
Knowledge of student services and goals and objectives as they relate to enrollment and retention. Bi-lingual (English and Spanish) skills. Physical Requirements and Working Conditions:
Physical Skills and Abilities: Learned physical skill is required to perform keyboarding functions and use of office equipment. Occasional lifting, guiding, or carrying of light-weight materials or equipment may be required. Sitting for extended periods of time while working at a computer terminal. Must be able to communicate effectively one-on-one, in small groups, and over the phone.
Working Conditions: Work is performed in a normal office environment with minimal exposure to health or safety hazards. Frequent work interruptions or changes in work flow. Considerable time is spent working on a computer. Some remote work (work from home) may be required. Essential Duties:
- 1. Accesses student data from various databases ( SIS, Aviso, etc) in order to create reports and visualize requested data for departmental understanding and action. Works with Dean to determine appropriate data use and presentation.
- Uses Banner to assign of students to advisors and navigators. Assists Navigators with other Banner data entry needs.
- Provides initial scheduling assistance, using Advising Guides, to students entering division programs through the New Student Center and Advising Center.
- Demonstrates and assists students to use features of available academic planning tools including Scheduler, Degreeworks audit software, LBCC Email, WebRunner, Moodle, and Aviso retention software.
- Using various technology, tracks student contact/outreach, referrals, attendance, and academic performance. Uses Aviso Retention to create and share reports on student activity.
- Makes appropriate referrals to faculty advisors and other student success services, tools, and resources.
- Assists with planning and coordination of various events promoting the Advising Center.
- Coordinates and serves as liaison with other departments to facilitate coordinated service for students (example, Degree Partnership Program, Student Leadership Council, Center for Accessibility Resources, First Resort Navigators, etc.).
- Serves as backup receptionist, providing customer service and office support. Answers phones, greets students, asks questions to determine needs and makes referrals.
- Performs other related duties as assigned.
