The STEM Graduate Advisor works with the Office of Graduate Studies staff to support the operations and student services of the School of STEM Master of Science in Electrical Engineering, Graduate Certificate in Electrical Engineering Foundations, and Graduate Certificate in Software Design and Development. Under the direction of the Director of Academic Services, the person in this position oversees and implements many administrative aspects of the program.

RESPONSIBILITIES:

This position is responsible for student services and academic advising for EE and GC graduate students. Duties include:

• Contribute to and promote a positive, welcoming, and highly supportive environment for all students. Provide timely, accurate, and constructive advising services to all students. Maintain strictest standards of confidentiality and discretion.
• Develop and implement new student orientations. Develop and continually improve orientation and advising tools.
• Advise students on degree requirements, University, Campus, and Program policies and procedures, pre-enrollment preparation, and academic and career planning.
• Advise students on course selection. Receive and process student petitions for departmental degree requirements. Advise students regarding process and procedures for petitions related to division and non-division course requests. Receive and process graduation requests and conduct department-level degree audit.
• Arrange Thesis registration, including supervisory committee approval process, monitor continuing progress, and arrange defense schedules.
• Arrange registration forms and coordinate registration with UW Professional and Continuing Education (PCE); troubleshoot issues for students regarding registration/financial aid, etc.
• Monitor and track current students academic progress, including satisfactory progress, conduct, and academic performance. Notify Academic Services Director and Graduate Program Coordinator of any unsatisfactory performance and recommend action. Notify student of any action taken and provide appropriate advising for how best to resolve or address unsatisfactory performance.
• Advise students on opportunities, procedures and best practices for securing financial awards (fellowships, scholarships, grants, etc.).
• Be familiar with and provide referrals to relevant campus resources. Anticipate and prepare for the effects on students of program changes.
• Advise the faculty about University and Campus rules and requirements that affect students
• Assist students in identifying opportunities for working toward career goals. Serve as a liaison between student and other campus units on policies and procedures related to International student requirements, internships, co-ops, study-abroad programs and scholarships.
• Support graduation and student honor society committee work, planning and organization of events.
• Maintain academic records for graduate students and apprise faculty of student progress. Serve as the primary liaison to the Graduate School. Attend Graduate School meetings and keep informed of new policies and procedures. Inform faculty and staff of relevant changes.

This position is responsible for a working with the STEM Admission Advisor on a wide variety of recruitment (both pre- and post-admission), outreach, and admissions tasks. Duties may also include serving as backup to Admission Advisor or other staff in the following manner:

• Represent School, Division and University in a professional and constructive manner at all times. Receive and respond to prospective student inquiries related to admission and recruitment.
• Develop and implement pre admissions outreach materials, presentations, visit days, and information sessions.
• Serve as admissions coordinator for all graduate programs (including exchange students). Serve as post admission recruitment contact for admitted graduate students.
• Represent department in public outreach, including diversity-focused outreach efforts. Continually develop and improve content for outreach materials. Recruit and advise students and other volunteers providing off-site outreach. Recruit and advise students and other volunteers providing on-site tours and outreach.

Program Management and Planning:

• Represent OGS office at all faculty related graduate committee meetings. Working with GPC and Director, and using independent judgement, prepare committee agendas, maintain meeting minutes, and co-write annual committee reports as needed.
• Keep informed of University, School, and Graduate School policies and regulations – especially those regarding admission and graduation. Research and make recommendations regarding departmental academic policies, curriculum updates, degree audit coding, etc. Contribute as needed to departmental Time Schedule. Regularly attend college and other university adviser meetings/events to represent department on matters related to academic services.
• Participate in ongoing data collection and analysis to continually improve educational effectiveness. Design, implement, and manage tracking current students and basic, post-graduation information (preferred contact, job placement). Utilize data management and analysis tools (e.g., UW BI Portal, UW MyGrad, Excel, Navigate, Slate, etc.) to prepare on-demand data analysis and data summaries.
• Work with Director and GPC to create the annual course plan and the quarterly teaching schedules for all faculty and teaching assistants.
• Execute time schedule construction and updates as needed. Track registration in graduate courses and advise faculty of any high/low enrollment concerns.
• With STEM TS coordinator, coordinate new course and course change applications, changes to graduate degree requirements, and course fee applications.
• Work with marketing & communications manager to update content to various communications including orientation, onboarding and website.

MINIMUM REQUIREMENTS:

•Bachelor’s Degree in Humanities, Social Sciences, Sciences, Education or a related field.
At least four years of work in Student affairs, higher education administration, counseling, social work or related field.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

• A team-oriented collaborative approach to work.

• Strong interpersonal skills, including oral and written communication, and public speaking.

• Strong problem solving and organizational skills.

• Commitment to providing excellent student services in a climate of multicultural understanding and appreciation.
• Strong proficiency with MS Word, Excel, PowerPoint, data management.

DESIRED EXPERIENCE

• Master’s degree in Social Work, Higher Education, Public Administration or related field.

• Experience student advising in a higher education institution.

• Experience in college admissions and recruitment.

• Experience in communications, marketing and or/recruitment.

CONDITIONS OF EMPLOYMENT:
• Office setting, ability to work occasional evening/weekends.
• This position requires attendance at evening, weekend and off-site activities in support of the academic programs and School business. This includes planning and staffing events associated with the department’s students and academic programs.
