The School of Art + Art History (SA+AH) seeks an assistant to the School’s Undergraduate Advising Office. This dynamic position helps to ensure that undergraduate art and art history students successfully navigate the University of Florida from the very beginning as a prospective student all the way through to graduation. Reporting to the Director of Undergraduate Admissions and Advising for the School of Art and Art History (SA+AH) and working closely with SA+AH undergraduate students, this position assists in the areas of undergraduate recruitment, admissions, retention, advising, and other academic matters. In tandem with the SA+AH administrative offices, the College of the Arts Deans office, and other university offices (e.g., admissions, registrar), this position maintains admissions, course scheduling, and advising protocols, supports the school’s student ambassador program, assists with tracking enrollment trends within the school, and creates and maintains processes and procedures that help our undergraduate students, faculty, and staff have an outstanding experience here at the University of Florida.

Responsibilities:
  • Point of contact for prospective SA+AH undergraduate students. Assist with recruitment efforts and coordination for undergraduate programs. Meet with prospective undergraduate students and families visiting SA+AH and coordinate tours and field trips as necessary. Assist with coordinating the undergraduate student Ambassador program (a specialized recruitment and retention student group) and coordinating with other colleges and universities on recruitment activities.
  • Point of contact for all undergraduate students trying to access advising and admissions services. Assist students with basic advising and admissions questions, providing them with literature, website referral, and directing them to and scheduling them with the Advisors, or other personnel, as appropriate. Conducts preliminary review of application materials to ensure proper submission; communicates with applicants about missing materials and assists with communication about admissions decisions. Assist with new student orientation and convocation. Assist in developing and maintaining relevant content for undergraduate advising canvas course shell. Maintain usage of Salesforce student sign-in system.
  • Participates in planning events and other programs for undergraduate student retention and engagement.
  • Coordinate and maintain all undergraduate student recruitment, retention and advising records.
  • Assist in coordination of materials for processes involving honors, graduation, enrollment tracking, registration, etc. Prepare and coordinate portfolio review processes.
  • Provide enrollment support by maintaining student databases (in Microsoft Access), email listservs, canvas advising course enrollments, maintaining record-keeping systems, preparing reports, and creating and maintaining application materials and records (SLATE systems). Input or retrieve data relating to applications, student enrollment, course scheduling, grades, and course and instructor evaluations. This includes the record keeping and protocols involving PaCE students.
  • Assist with graduate and undergraduate course scheduling. Input courses and classroom reservations and assist with other room reservations as needed.
  • Coordinate undergraduate grade reporting for internships and individual studies. Monitor compliance with UF’s textbook adoption process. Assist with course fee procedures.
  • Assist with supervising Graduate Assistants assigned to the office.
  • Assist the Undergraduate Advisor or School administration in any other ways, as needed.

Expected Salary:

$18.25 - $19.64 hourly. Negotiable based on qualifications and experience. The position is eligible for a comprehensive and highly competitive benefits package.

Minimum Requirements:

High school diploma or equivalent and three years of relevant experience.

Preferred Qualifications:
  • Bachelor’s Degree
  • Administrative experience (preferably in a higher education setting)
  • Excellent communication and organizational skills
  • Ability to prioritize and pivot as necessary in a fast-paced and complex environment
  • Familiarity with Microsoft Access database
  • Proficiency with Microsoft Office and Excel
  • Evidence of success in promoting an environment that advances access, equity, and inclusion.
