The Welcome Center at HCC is seeking an Office Associate V to work onsite at our campus in Columbia, MD. This position serves as initial point of contact and college ambassador for guests and prospective students to the college. This position is responsible for triage and provide general information regarding enrollment services and student development processes, including admissions, records and registration, financial aid services, testing processes, tutoring, and counseling and career services for students.

  • Provides general campus information regarding office locations and hours, directing students and community members to the appropriate services, offices, events, etc.
  • Direct individuals to appropriate web resources as well as catalogs and manuals for information.
  • Provides assistance to current students, faculty, and staff as appropriate.
  • Assists with the interviews, hiring, training and supervision of student ambassadors.
  • Promotes college academic programs, events and services. Initiates follow-up actions to queries as appropriate.
  • Maintains a consolidated calendar of campus events and activities.
  • Provides support to the college's enrollment and retention services offices and efforts including admissions, advising, financial aid, registration, graduation and development.
  • Responsible for maintaining office supplies inventory, ordering office supplies, creating work orders and related tasks.
  • Primary operator and trainer of college switchboard.
  • Assist supervisor with the development of student ambassador's and student workers calendar and schedule of campus tours.
  • Serves as administrative backup to the supervisor of the Welcome Center in their absence.
  • Assist with the development and maintenance of notary services and departmental/division projects.
  • Assists with the development and maintenance of daily data including visitors, emails and phone calls received to the college for the purpose of appropriate staffing and timely response and optimal customer service.
  • Greets and welcomes visitors and currently enrolled students providing a feeling of hospitality, inclusion and community.
  • Assists with the ongoing development and updates to the Welcome Center Policy and Procedures Manual.
  • Responds to inquiries regarding student services programs, services, activities and events. Initiates referrals to campus departments and services when appropriate.
  • Provides updates and technical training to new student ambassadors and student workers, including the use of the telephone system, the student information system as appropriate as well as the location of information on the college website.
  • Maintains notary licensure and provides notary services to the campus community for college-related activities. Serve as administrative backup for group notary scheduling.
  • Operates the campus main switchboard. Updates the employee/office switchboard directory, as needed.
  • Assist with the Friendly Campus program.
  • Serves as administrative backup for assigning course index numbers for Diversity events and tracks employee attendance in Colleague. Follows-up with employees and other offices where appropriate.
  • Provides support to the college's enrollment and retention services office through participation with Freshman Focus, Open Houses, call team, Friendly Campus, graduation and diploma planning and implementation, Advising Scheduling Lab, Information Sessions, etc.
  • Provides general information on enrollment services and student development processes, such as admissions, records and registration, financial aid services, testing processes, tutoring, counseling and career services for students.
  • Maintains a consolidated Outlook calendar of campus events and activities.
  • Accesses the Colleague database to retrieve student schedules.
  • Serve as building monitor. Assist with emergency preparedness drills and simulations and takes appropriate action during an emergency. Notifies appropriate areas of any potential safety/emergency concerns.
  • Responds to requests from callers and visitors for college publications, such as catalogues, schedule of classes, handbooks and related information.
  • Utilizes Microsoft Office applications.
  • Supervises student ambassadors and student workers and manages their schedules.
  • Provide guidance to students and visitors to access the student website, as well as direct students to the college's social media's presence.
  • Manages and supervises the Welcome Centers during the absence of the Welcome Center supervisor.
  • Participates in professional development and diversity activities and events
  • High school diploma and minimum of 3 years of recent customer service experience.
  • Experience with multi-line telephone system.
  • Prior experience with diverse populations and demonstrated understanding of diverse needs.
  • Outstanding customer service and organizational skills, the ability to take the initiative and to multi-task is required. Proficiency using Microsoft Office required; experience with other software applications and information systems strongly preferred.
  • Ability to work effectively as a team member.
  • Ability to maintain strict confidentiality.
  • Ability to use initiative to identify and resolve problems.
  • Ability to work in high stress situations and function efficiently in emergencies.
  • Regular attendance is a requirement of this job.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.

Hours Per Week: 37.5
Work Schedule: Monday - Friday, 8:30 a.m. - 5:00 p.m., adjustment made for one evening per week. May have additional evenings and weekends during peak periods.
Compensation: $19.04/hr ($37,271 yearly) plus excellent medical & dental insurance, tuition reimbursement and paid leave
FLSA Status: Non-Exempt

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
