Assistant Registrar, Faculty and Student Services

Job Description Summary:
The Assistant Registrar for Faculty and Student Services provides overall leadership and engagement of external stakeholders for the office of the registrar. The central focus of this position is to build effective relationships with staff, faculty and students by providing exceptional customer service, managing signature initiatives relative to the office of the registrar, management of all external facing communication(s) and representing the office of the registrar in areas of overall service, comprehensive policy development and student/faculty support services. This position requires a leader who has strong negotiation, persuasion, and collaboration skills and can demonstrate these skills on projects to resolve varied problems by identifying needs, potential solutions and gaining cooperation of academic units in a timely manner. Ensure all service standards are met and strictly adhered to with a 24 hour turnaround time for any and all inquiries received by the office of the registrar.

Specific Duties:
Faculty Services:
  • Coordinate with Faculty/Department Chairs/Deans to assist in training new faculty, staff and student workers on variety of software, policies and procedures.
  • Prepare a variety of instructional and operational materials to enhance faculty understanding of major programs, initiatives and changes.
  • Provide responses to faculty inquiries within 24 hours of receipt.
  • Serve as the lead trainer for staff in areas of faculty support including, but not limited to, new policy development, administrative reviews, program reviews
  • Oversees the collection and maintenance of academic catalog and curriculum changes for both Banner and Degree Works as well as utilizing notes from faculty committees to anticipate changes..
  • Yearly audits of the University catalog to ensure information is consistent with faculty driven policies and major program revisions.
  • Works closely with the Coordinator of Academic Schedules and Classroom events to monitor and forecast classroom needs and communication strategies to inform faculty of classroom assignments and changes.
  • Communicates with Deans/Program Directors about late submission of grades.
  • Sends out Dean’s List and Academic Standing list to the appropriate Dean and Program Chairs.



Student Services:
  • Direct, supervise, and evaluate assigned academic and classified staff; recommend for employment, direct the assignment of, and direct the evaluation of all student services personnel within the Office of the Registrar.
  • Working with the Registrar, create the master schedule and registration calendar for all locations and programs.
  • Works closely with the Coordinator of Academic Schedules and Classroom events to monitor and forecast classroom needs and communication strategies to inform students of classroom assignments and changes.
  • Works closely with the Coordinator of Academic Schedules and Classroom events to utilize Schedule/Resource 2S for academic events and class scheduling including production of reports..
  • Troubleshoot any registration issues identified by students, faculty, advisors or administrative units.
  • As appropriate, provide for the orientation, training, and professional development of administrative, faculty, and staff personnel in area of responsibility.
  • As assigned by the Registrar, act as a representative of the college with other community colleges, educational institutions, and the community.
  • Provide for on-going student access and success by forging partnerships with external entities, including K-12 school districts, four-year colleges, community-based organizations, and employers.
  • Coordinate the student services program review component with other major components of the college.
  • Communicate effectively with other administrators and district personnel to coordinate activities and programs, resolve issues and conflicts, and exchange information.
  • Develop and implement standards of success within the office of the registrar with direct regard to increasing campus visibility, developing high level-high touch customer service techniques and maintaining a reputation of responsiveness.
  • Maintain current knowledge of new developments and innovations in community colleges and higher education in general serve as an informed and knowledgeable resource for campus-wide efforts.
  • Assure compliance with all applicable laws, regulations, codes, rules, and restrictions related to assigned Student Services, programs and activities; assure the highest legal and ethical standards are maintained and communicated.
  • Utilizes critical thinking and problem solving skills on a regular basis to resolve any student, faculty, or staff issues that may escalate to a supervisor level on a daily basis.
  • Must be able to research all conflicts or issue to find a fair solution within university policies and guidelines.
  • Collaborates with, and advises, the University Registrar in establishing short and long term plans, evaluating the effectiveness of the office; ensuring accurate and timely information on curriculum, policies, and procedures; creates an environment responsive to the needs of the office’s various constituents and committed to the development and success of students across all campuses and programs.

Supervision and Training:
  • Has oversight over registration staff members.
  • Oversees all activities/task and supervises staff that are associated with registration, grading and transcript processing.
  • Train staff in the Office of the Registrar in areas of conflict resolution, exceptional customer service and standards of concierge level service as directed by the Registrar.
  • Maintain and update all documentation (internal and external) regarding registration staff training.
  • Represent the Office of the Registrar to national, state, and local agencies and at various councils, committees and task forces, as directed by the Registrar.
  • Perform related duties as required or assigned.
  • In collaboration with the Registrar, drive and support the college-wide effort to implement the Guided Pathways framework and the advancement of transfer based services.

  • Other Task as assigned by the Registrar or Associate Registrar
  • Functions as a member of the Registrar’s Management Team by providing leadership and supervision of essential services, and provides information and service to customers.


Minimum Qualifications:
  • Bachelor’s Degree in a related field
  • 3 years of experience in a student facing role in higher education
  • 3 years of experience within an organization with responsibility to interpret policy and/or procedures
  • 5 years of experience working in an organization with demonstrated increased job responsibilities
  • 3 years of experience with, and ability to demonstrate, increased supervision responsibility
  • 5 years of experience with a wide range of customer service responsibilities
  • Critical thinking/problem solving skills
  • Exceptional customer service experience
  • Experience/Knowledge using a wide range of technology and databases
  • Must be able to demonstrate excellent written and oral communication skills


Preferred Qualifications:
  • Master’s Degree in a related field
  • Experience with student information systems (ideally Ellucian Banner)
  • Experience using scheduling software (ideally 25Live)
  • Experience working in Higher Education
  • Experience using Degree Works
