The Academic and Operations Coordinator will provide operations and student service support to the inquiries within the admissions funnel and coordinate all application processing and admissions operations. The incumbent will provide support to applicants through telephone, email, face-to-face assistance, and other means; will respond to requests from potential students, assisting them with the application process and maintain appropriate documentation of all student inquiries. The position will manage the online admissions application and coordinate & process associated records. Qualifications
  • Bachelor’s degree preferred.
  • Three (3) plus years of experience working in a service-oriented, customer support or related field.
  • Strong customer service background required.
  • Previous experience providing exceptional customer service in a collegiate or university environment is a strong plus.
  • Familiarity with online learning technology a plus.
  • Excellent computer skills (Microsoft Office, inclusive of Word, Excel, PowerPoint). Telephone appointment setting and keeping with proven ability to collect information a plus.
  • Experience with Salesforce or similar CRM to track student contact.
  • Ability to effectively communicate with prospective and current students, school partners, admission counselors and student support staff.
Job Specific Qualifications
  • Extensive experience with SalesForce (TargetX) CRM .
  • Extensive experience with PeopleSoft Student Information System.
  • Familiarity with using technology in an educational setting.
  • Excellent verbal and written communication skills with the ability to communicate in a courteous, personal, tactful, and concise manner.
  • Strong student-centered, customer service focus; commitment to student satisfaction and success.
  • Flexibility to work scheduled evening or weekend hours to support students during peak evening and weekend times.
  • Ability to work and contribute in a team environment.
Responsibilities
  • Coordinates all aspects of the admissions application management and processing functions.
  • Performs recruitment system functions including computer and manual processing.
  • Work daily in CRM, Student Information System(s), and application platforms (CollegeNet, Slate).
  • Manages and produces all reporting on admissions funnel activity.
  • Processes all admissions functions on system, including disseminating admissions decisions.
  • Works with prospective students throughout the application, admissions, and enrollment process; manage communication templates and processes to follow up with applicants on missing materials, questions, etc.
  • Manages intake of transcripts and other application materials.
  • Communicate with applicants via phone, email, and video as necessary.
  • Support applicant conversion, yield, matriculation, and enrollment processes through proactive, reactive, comprehensive, and exceptional customer service.
  • Troubleshoot student support issues and coordinate solutions in accordance with all university policies.
  • Serves as a member of the Admissions Management team.
  • Analyzes program and student data to estimate credit pacing, raw credit productions including intuitive reasoning to forecast appropriately and makes recommendations to supervisor on admission process improvements.
  • Provides assessment of critical situations and determines when escalation is required; Identify and refer students to University Academic Advising, Financial Aid, Bursar, Registration, Information and Technology Services, and other offices as appropriate for additional support.
  • Processes mailing operations and general support to other members of the admissions team.
  • Assist in maintaining all office supplies and promotional materials.
