The College of Lake County is currently searching for an Office Associate to join the Judicial Services Department. This position provides standard and advanced secretarial and clerical duties requiring experience, skill, the use of discretion, and knowledge of College and departmental policies and procedures.

Judicial Services provides 19th Circuit Court mandated training to customers of the Court through three Intergovernmental Agreements; Driver Safety, Family Parenting and Volunteer Coordination Services. Judicial Services and the College have enjoyed this partnership since 1991 and serve more than 13,000 customers annually.

Required Qualification
1. A high school diploma, or equivalent.
2. Word processing/computer literacy, database knowledge and spreadsheet design skills, proficient in MSOffice suite of products.
3. A minimum of two years of office support or related experience.
4. Fluency, written and oral in Spanish.
5. Prior customer service experience.
6. Excellent organizational, interpersonal and communication skills
7. Proven ability to work effectively and constructively with persons of diverse cultures, language groups, and abilities; demonstrate sensitivity to and ability to work with the diverse academic, socioeconomic, cultural and ethnic backgrounds of community college students, faculty, and staff, including those with disabilities; establish and maintain effective working relationships with those contacted in the course of work. Student/Customer Service: 85%

1. Answers, screens and/or relays telephone calls and questions from the public and employees, explaining program rules, procedures and requirements, enrolls customers in classes or refers questions and concerns as appropriate.
2. Examines and verifies court documents to ensure that clients are enrolled in the appropriate class.
3. Acts as the point of contact for all walk-in customers, taking payments and enrolling them in the correct classes.

Department Operations and Processes: 10%

1. Prepares and/or composes basic and various correspondence, memos, certificates of completion, and reports.
2. Maintains office phone system by routinely checking and responding to voicemails, as well as updating the greeting message.
3. Provides periodic training and assistance to new employees regarding departmental policies and procedures.

Other: 5%

1 Sorts and distributes mail for the department.
2 Performs other related duties as assigned.
