Job Summary

The Office of Research and Innovation is currently seeking to hire an Assistant Director, Grants Administrator.

Working under the leadership of the Director of Sponsored Programs, provides direct oversight of the Grants Administration team on all sponsored program activities. This includes but is not limited to proposal compliance review and submission to ensure adherence with solicitation; review, draft, and negotiate sponsor-related subawards and subcontracts, and award management. Deep understanding of the interdisciplinary nature of research administration, and the variety of internal (administrative and academic) and external stakeholders this is necessary for effective sponsored program management. Assist with implementation of new grant system. Assist with implementing and updating grant teams procedures.

Essential Functions

Grants Management:
  • Supervise the grants administration team interactions between extramural sponsors, program officials, principal investigators, department administrators, and collaborating department staff to facilitate grant sponsored program functions in the university
Proposal Preparation:
  • Identify, define, and resolve issues related to sponsored project program proposal development, review, and submission activities in accordance with federal and other government funding agencies, foundation, corporate and industry funding entities, and institutional policies
Award Negotiation:
  • Review and agreements for funding, e.g., federal, and non-federal agencies, non-profits, universities, etc.
Award Management:
  • Manage process of all incoming awards including by collaborating with Research Accounting Services for financial management.
  • Manage the non-financial post-award administration process including but not limited preparing subcontracts, subrecipient audit certification and monitoring, serve as a liaison between university community and external sponsors regarding non-financial grants management issues, monitoring report submission; ensure university concurrent with federal regulations regarding non-financial compliance issues.
Data Management:
  • Ensure that of all grants administration activities are recorded in all related data management system/system of record
  • Manage the COEUS/InfoEd databases for the appropriate tracking of research projects and generating reports regarding research actions and activities
  • Serve as technical expert on the use of data management systems and the application processes to support users
Customer Service:
  • Work with the institution’s administrative units and academic departments to ensure compliance with institutional and sponsor requirements and implementing best/promising practices in research administration. Serve as liaison to faculty, staff and students concerning inquiries or complaints requiring interpretation of federal regulations and institutional policies and procedures.
  • Work with others to address critical issues, resolve problems, and influence appropriate resolutions
Education:

Institutional and Regulatory Compliance
  • Stay current with federal regulations including but not limited to Office of Management and Budget (OMB) Uniform Guidance (2 CFR 200), Federal Acquisition Regulation (FAR), Defense Federal Acquisition Regulations (DFARs), Export Control; and Generally Accepted Accounting Principles (GAAP); state and local regulations; and institutional policies and procedures
Other duties as assigned

Required Qualifications
  • Bachelor’s Degree
  • A minimum of 5 years in research administration in a non-profit or academic research institution
  • A minimum of 3 years of supervisory experience
  • Willingness to obtain Certified Research Administrators (CRA) certification within first year of employment
Preferred Qualifications
  • Active Certified Research Administrators (CRA) certification
