Job Summary

The University of Colorado Boulder is searching for a Training & Health Records Manager! This position serves as an organizational specialist for Health and Wellness Administrative Services critical business applications, the Electronic Health Record (EHR) and Patient Management Information System (PMIS), providing the link between technology and its utilization in a clinical setting.

This position possesses an extensive knowledge of medical, administrative, ethical and legal requirements and standards related to healthcare delivery and the privacy of protected patient information. This position will manage patient health information, oversee procedures within the Health Information Management (HIM) unit, perform quality verifications audits, and complete reports for compliance monitoring. This role is responsible for developing and delivering a standardized training program, supervising 2-3 staff, and supporting the organization's vision and direction for all functions.

The Wardenburg Medical Clinic provides services for students including, but not limited to: treatment of illnesses and injuries, as well as chronic conditions, physicals, sexually transmitted infection testing and treatment, allergy shots, vaccinations, travel health care, and concussion care.

What Your Key Responsibilities Will Be

Health Information Management
  • Serve as an organizational specialist in handling incoming records and releasing patient health information and medical records.
  • Supervise the acquisition of outside records for providers, patient visits, or from the health information exchange.
  • Oversee the medical records life cycle which includes; processing, scanning, storage, retrieval and disposition requiring a thorough knowledge of legal medical record requirements, medical record forms/content and relevant clinical work flows.
  • Act as a subject matter authority for health information operations including evolving documentation opportunities, record retention, and assurance/monitoring of data integrity and will assist in collecting and analyzing patient data.
  • Direct all elements of process reporting and automatization of processes when possible.

Training and Staff Development
  • Create and conduct role-based training for all staff in utilizing and documenting in the practice management information systems and the electronic health record. Be a resource for ongoing training for staff.
  • Develop and lead a working group, the Medicat Coaches program, to create a strong training culture with peer support and resources for resolving problems in the EHR.
  • Streamline the training program to include auxiliary content such as video modules as well as a follow-up in-person evaluations and training. Create a follow-up program for trainees after 3 months to assess understanding and fill in gaps.
  • Produce a training evaluation system for trainees to understand pitfalls or gaps in training offerings.
  • Develop a yearly or bi-annually assessment that must be completed by staff to assess knowledge of Medicat functionality and review any system updates.

Supervision
  • Recruit, train, retain, supervise, and evaluate up to two professional staff in the unit.
  • Conduct planning, coaching and review sessions; coordinate hiring and disciplinary actions; coordinate schedule and work responsibilities.
  • Assign tasks and monitor progress on projects to ensure support needs are met.
  • Cover for other departmental functions as assigned and cross-train supervised staff in all elements of records processing, training, and other Administrative Services functions including Patient Access.

What We Can Offer

The expected annual salary range is $60,000-$65,000.

What We Require
  • Bachelor's degree and 1+ years of experience, or
  • 5+ years of experience.


What You Will Need

  • Ability to work independently, handle multiple concurrent tasks and responsibilities, and deal with changing priorities.
  • Knowledge and experience with information privacy laws and regulations in healthcare environment.
  • Showed talent of computer and office software skills.
  • Proficiency in word processing, databases and spreadsheets.


What We Would Like You To Have
  • Four years of experience in a health care environment working with electronic medical records and/or health care software.
  • Experience using peripheral digital scanning technologies and equipment.
  • Training and records experience in a health care environment.
  • Demonstrated knowledge of health information procedures & terminology.
  • License/Certification: Registered Health Information Administrator, or equivalent.
