The Program & Event Coordinator is an integral member of the Center for Teaching & Scholarly Excellence (CTSE) and often the first point of contact for instructors interested in educational development for teaching, academic technology, and scholarship. Reporting to and working closely with the CTSE Director, the Coordinator manages communications and requests for support; provides programmatic and general administrative support; coordinates organizes and markets Center and partner educational development programming; keeps track of the Center budget; supports and oversees the disbursements of grant funding initiatives; maintains Center data and contributes to the evaluation of the effectiveness of educational development efforts.
Primary/Principal Responsibilities:
Support CTSE Team Efforts
The Program & Event Coordinator is an integral member of the Center for Teaching & Scholarly Excellence (CTSE) and often the first point of contact for instructors interested in educational development for teaching, academic technology, and scholarship. Reporting to and working closely with the CTSE Director, the Coordinator manages communications and requests for support; provides programmatic and general administrative support; coordinates organizes and markets Center and partner educational development programming; keeps track of the Center budget; supports and oversees the disbursements of grant funding initiatives; maintains Center data and contributes to the evaluation of the effectiveness of educational development efforts.
Primary/Principal Responsibilities:
Support CTSE Team Efforts
- Receive and respond to inquiries on behalf of CTSE Team
- Coordinate the tracking of CTSE office expenses, forecast expenditures, and prepare monthly budget reports
- Coordinate, order and maintain stock of materials and supplies for the CTSE
- Draft the programming section of the departmental annual report and format other sections as directed
- Schedule the CTSE spaces
- Support the needs of faculty involved in CTSE programs such as Faculty and Professional Learning Communities and Teaching & Learning Innovation grants
- Supervise student workers
- Provide support for the planning and handling of all logistics for all in person and virtual programs, workshops and events offered by the CTSE; such as, guest speaker engagements, workshops, luncheons, annual symposium, course design institutes and new faculty orientation.
- Collaborate with other departments and with vendors to secure all logistics including, but not limited to reserving appropriate venue (conference room et al), reserving the necessary technology and placing catering orders.
- Prepare and distribute appropriate marketing materials to guest list/intended audience.
- Maintain and coordinate scheduling for all CTSE related events.
- Create and update CTSE marketing and communication materials; assist in collecting information and circulate the department e-newsletter and special event flyers; ensure the department website is updated.
- Publicize events and programming through social media and related electronic communication outlets and maintain CTSE event calendar.
- Support programming for the Creativity & Innovation first-year program;
- Outreach on behalf of the CTSE for new initiatives with individual schools including maintaining departmental contact databases with internal and external contacts.
- Other duties as assigned
- Prepare, disseminate, collect and aggregate data through surveys and feedback forms
- Coordinate and contribute to the production of the CTSE annual report
- Support and participate in all CTSE Advisory Board meetings including scheduling the meetings, taking minutes and participating in discussions of Center programming
- Bachelor’s degree
- Three to five years of relevant office support experience required
- Strong computer skills including MS Office (Word, Excel, PowerPoint, Access, Outlook) and desired computer skills in Photoshop, and InDesign, and Web Design
- Familiarity with social media marketing applications (LinkedIn, Twitter)
- Experience with research methods is a plus
- Excellent written and oral communication skills
- Detail-oriented

- Demonstrated experience working in a high volume, deadline-oriented customer focused environment
- Proven ability to work independently and as part of a team
- Creative and proactive
- Enjoy handling multiple projects simultaneously
