Job Summary

The Leeds School of Business at The University of Colorado Boulder encourages applications for a Professional Assistant to the Associate Dean of Graduate Programs ! This position is an integral part of the Graduate Programs team. They will contribute to the welcoming and supportive environment in Graduate Programs with the ultimate goal of fostering student success. They are responsible for executive assistance in support of the associate dean of graduate programs and for management of significant graduate programs events. This position will model a professional demeanor with a service mentality, execute outstanding multi-tasking and project management skills, be a proactive problem solver and exhibit steadfast professionalism in a sophisticated and fast-paced environment.

What Your Key Responsibilities Will Be

Professional Support for the Graduate Dean and Programs
  • Provide the Graduate Dean an outstanding level of professional support for a wide variety of needs, from office management to critical projects and tasks. Responsibilities include, but are not limited to:
    • Provide Associate Dean with on-demand support;
    • Answer and direct phone calls;
    • Prepare correspondence and executive presentations;
    • Manage documents;
    • Schedule appointments;
    • Confidential and creative calendar maintenance using knowledge of priorities and critical needs to ensure efficient time management;
    • Organize travel arrangements;
    • Process expense reimbursement;
    • Anticipate, interpret, and respond to a variety of issues with the highest level of discretion and professional judgment;
    • Provide administrative and project support to Graduate Programs directors, as needed;
    • Plan, direct, and coordinate administrative services for the office;
    • Provide functional guidance/oversight to student workers;
    • Maintain a professional image and welcoming tone for Graduate Programs with students, staff, faculty and external visitors;
    • Ensure that work products are accurate, timely, and complete; and
    • Other duties assigned by the Dean and Associate Director of Operations.

Coordination of Events
  • This position will work in concert with Graduate Programs directors to deliver top-quality events in support of admissions, career and student services initiatives. May require collaboration and coordination with the dean’s office, advancement and alumni relations offices, donors and vendors to execute larger events. Event coordination includes:
    • Coordinating all services to ensure successful events;
    • Assuring preparation of materials;
    • Creating invitations, promoting the event and tracking registrations;
    • Monitoring event activities to verify compliance with university policies and procedures;
    • Ensuring participant satisfaction; and
    • Resolution of any problems that arise and applying knowledge of procurement, budgeting, and personnel procedures in adherence with University policies and procedures.

Special Projects and Other Duties as Assigned
  • As assigned, support special projects and general operations of the Graduate Programs Office.


What You Should Know

  • This is not a remote position.
  • Work Schedule: Monday - Friday, 8a-5p. Will need flexibility in relation to events hosted by the department.


What We Can Offer

  • The salary range is $48,000- $50,000 annually.
  • Relocation is available for eligible candidates.

What We Require

  • Bachelor's degree from an accredited institution or equivalent combination of education and experience.
  • 2+ years of related experience.


What You Will Need

  • Strong time-management skills and the ability to organize and coordinate multiple projects at once.
  • Outstanding interpersonal, written and verbal communication skills.
  • Confidence to work in a fast-moving, hectic environment.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), with aptitude to learn new software systems.
  • Ability to work hours as workload demands, this means working nights and weekends as needed to manage events and/or support staff.

What We Would Like You To Have

  • Four years experience in administrative role.
  • Prior experience providing direct support to high-level administrators.
  • Prior experience working in higher education.
  • Familiarity with CU policies, procedures, and software applications.
  • Experience working with diverse constituent groups and familiarity with inclusive practices.
