Brief Summary of Work for this Position

The Administrative Specialist assists with administering and coordinating business, fiscal and administrative functions for the Athletics Department. The duties for this position include, but are not limited to, the following:
  • Managing budget and processes for multiple units
  • Reconciling financial data
  • Scheduling events, travel/permissions
  • Purchasing equipment and uniforms
  • Managing the budget/recruitment needs for the teams following university policy and within the NCAA and CAA guidelines
  • Providing guidance to coaches on university, NCAA, and CAA policies and procedures related to team issues
  • Completing journal entries or budget revisions as needed
  • Processing and completing deposit of cash receipts
  • Managing department-wide purchasing card program
  • Managing and reconciling the departmental-wide travel card program
  • Managing independent contractors for assigned units
  • Providing training and guidance to unit administrative associates
  • Performs other financial-related duties as assigned

    Minimum Education and Experience Requirements

    High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

    Preferred education, professional skills and experience

    Bachelor’s degree with a minimum of two years of administration or business management experience

    Experience with financial management and analysis, budgeting management

    Experience with employment processes

    Detail oriented with excellent organizational skills

    Ability to work independently, multitask, and perform various duties/projects with overlapping deadlines
