Primary Purpose of Organizational Unit
This position is assigned to the Office of Scholarships and Financial Aid ( OSFA ) at the University of North Carolina Wilmington ( UNCW ). UNCW operates at a student capacity of about 16,500 and OSFA is expected to serve any of those students seeking financial aid assistance, any prospective students/families, as well as students who receive benefits that require coordination through the OSFA . The OSFA currently serves approximately 70% of the student body. This includes federal and financial assistance, Veterans educational benefits, all tuition waivers, all scholarships, all institutional aid and all non-institutional aid. Typical office contact is 35,000 calls and 13,500 visits. The major functions of the department include:
• Management of funds exceeding $122 million
• Receiving and/or processing aid applications from approximately 19,000 students each year (this includes all admitted students- some do not matriculate)
• Monitoring records and procedures for compliance with applicable federal and state laws and regulations and NCAA athletics rules
• Providing federal, state, and donor reports, and providing general financial aid advising and counseling to current and prospective students and their family.
• Due to the national financial aid processing and delivery system, admission decision notification, and timing of orientation/billing, the heavier portions of the work are concentrated during March, April, June, July, and the first two weeks of each semester.

Brief Summary of Work for this Position
The Financial Aid Functional Analyst will provide efficient and technical support to the Financial Aid office. Under general direction, this position assists the Senior Assistant Director of Technical Financial Aid Operations by serving as a functional analyst for the Banner Financial Aid module. The Financial Aid Functional analyst will work on continued maintenance of the Financial Aid system by updating, setup, running processes, and testing. This position must keep abreast of financial aid regulations, Banner releases and monitor financial aid discussion groups.
The Financial Aid Functional Analyst is responsible for assessing, evaluating, and implementing functionality of the Financial Aid module and associated imaging module.
Duties include:
- Automating processes, running and building reports/queries, and recommending enhancements
- Daily financial aid processing
- Ensuring compliance and integrity of the financial aid system, testing new releases, modules and patches, troubleshooting systems issues, documenting processes, reconciling COD information with Banner, creating reports and pulling data for reporting purposes ( FISAP, State Grants etc.)
- Ensuring compliance with Federal, State and campus policies under direction of the Director of Scholarships & Financial Aid
- Collaborating with Office of Scholarships & Financial Aid end users to identify needs and developing documentation for new and existing functionality
- Assisting with the development and evolution of business processes and documents, Banner processes and other systems applicable to the Financial Aid module
- Serving as back-up administrator for the ImageNow system processing changes to work flow, updating application plans, adding and removing users, modifying Java and Visual Basic scripts integral to the established work flow, and reviews content in Image to ensure that items are moving to correct queues
- Recommending and implementing solutions to manage processes in an efficient manner, improving customer service, and productivity
- Informing supervisor of project status, deviation from production goals, potential impact on other areas, and recommends solutions
- Monitoring and reviewing all processes, recommending enhancements to supervisor and consulting with technical staff on approaches for resolution of technical problems
- Processing Federal Direct and Alternative loans
- Performing routine financial aid reconciliation, and creates queries for reporting and system maintenance
Minimum Education and Experience Requirements
Graduation from a two year technical college with a major in an Information Technology field and one year in the information technology field related to the position’s role; or graduation from a four year college or university and one year experience in the information technology field related to the position’s role; or graduation from a four year college or university with a major in an Information Technology area
Related information technology experience may be substituted year for year for the required education.
Degrees must be received from appropriately accredited institutions
Preferred education, professional skills and experience
- Graduation from a four-year college or university with a major in information technology or related area and three to five years in an information technology field related to the position
- Ability to be flexible with their time and have the ability to change priorities at a moment’s notice
- Excellent interpersonal skills and strong customer service focus as much of the work involves contact with staff and University partners (and occasionally prospective families and currently enrolled students)
- Excellent verbal and written communication and mathematical skills
- Ability to contribute to the improvements necessary to ensure the office remains current Knowledge of SQL and University ERP (Banner or equivalent software) or other programming language and the ability to apply these tools to solve problems
- Work experience, preferably in higher education and Financial Aid, strongly desired
