Primary Duties
Working independently under general supervision of the Manager of Administrative Services, this position performs a full range of moderately complex clerical and administrative support duties for Facilities Management Services ( FMS ). Day-to-day duties include assisting with event support, website updating, reception support, and general front office/management support.

Facilities Management and Services ( FMS ) is a large, complex department consisting of approximately 200 employees working various shifts and providing diverse administrative and operational services campus wide.

Thorough knowledge of:
  • English grammar, punctuation and spelling.

Fluency in using standard office equipment (computers, copiers, phones) and standard office software packages such as, Microsoft Office (Word, Excel, and Outlook) and related computer software packages.

General working knowledge of applicable University infrastructure, policies, and procedures.

Working knowledge of budget policies and procedures.

Incumbent must possess:
  • Active problem solving and effective interpersonal skills as work often involves frontline contacts with a variety of campus and community individuals.
  • Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions.

  • Identify and solve standard problems where policy and procedures are referenced and refer more complex problems to appropriate staff.
  • Perform standard arithmetic calculations of a transactional nature, including tracking and comparing data.
  • Use standard office equipment as well as quickly learn to use new office support technology systems and software packages.
  • Work with and maintain integrity of confidential and sensitive information and materials with tact, discretion, and diplomacy.

Required Education and/or Experience
This position requires experience to be proficient in performing most or all work assignments and should include administrative support, coordinating and prioritizing many different clerical tasks, applying and communicating policies and procedures. These qualifications, and those listed above, would normally be obtained through completion of a high school program or its equivalent and two years recent experience in an office environment. Preference may be given to applicants with the following as they may be considered specialized skills:
  • Two years of experience in an office environment.
  • Experience working with a Computerized Maintenance Management System (Work Order System) such as WebTMA.
  • Willingness to adjust to change, demonstrates flexibility and patience with changing expectations (e.g. technology, responsibilities and assignments).
  • Communicate effectively in person, on the telephone, and in writing.

PHYSICAL REQUIREMENTS
Incumbent/applicant will need to be able to perform the essential job functions (duties) of this position with or without reasonable accommodation. This position alternates between remaining in a stationary position operating a personal computer for long periods of time and frequently moving about inside and outside the office. Requires the need to travel across campus to other office buildings.

WORK ENVIRONMENT
This work is performed in an office environment that involves frequent contact with Facilities Management Services personnel and campus payroll department. Work is performed in a typical office environment operating standard office equipment. Benefits

Eligibility for Affordable Care Act ( ACA ) benefits is based on an appointment of at least three-quarter time, hired to work a minimum of 130 hours per month over the course of the appointment or works an average of 130 hours or more per month during the measurement period.
