Summary of Job Duties:Manage the day-to-day operation of the WATC office by providing technical support, general administrative support, and clerical support functions for the Western Arkansas Technical Center which includes: student administration, classification of and organization of student permanent files, student attendance, faculty relations, staff relations, and attendance at special events. Works in tandem with the other WATC staff to accomplish departmental goals and to provide support for the director, program coordinator, and program faculty as required. This position reports to the Director of the Western Arkansas Technical Center. Background and child maltreatment central registry checks are required. This position is a twelve-month assignment.

Qualifications:

Minimum Qualifications:

  • A high school diploma or its equivalent.
  • Three or more years of general administrative experience.


Preferred Qualifications:

  • An associate degree is preferred.

Essential Job Duties:

  • Supervises organization of all textbooks and associated checkout processes, classroom supplies and related correspondence.
  • Performs all phases of reception and clerical duties for the department and for the director, including answering phones, greet, direct and provide general information for employees and visitors, typing of documents, student files, evaluation documents, instructor licenses, and other documents as needed.
  • Prepares and maintains student files (electronic and paper), serving as records custodian. This includes verifying registration documentation from local high schools and maintaining records of all present and past WATC students.
  • Responsible for a variety of assigned reports, projects, and documentation included in the taking and recording of student attendance and maintains staff calendars.
  • Coordinate all purchases and tracking for required instructional and administrative supplies.
  • Sorts and distributes mail. Responds to regular occurring requests for information.
  • Works independently and within a team on projects and tasks.
  • Maintains and retrieves departmental data and information for reference or to compile reports. May prepare or assist with reports, preparation of surveys, audits, research, and statistical analysis through use of Banner and ARGOS reporting software.
  • Performs data entry into appropriate databases.
  • Organize details for staff meetings, programs, and other events by arranging times and facilities.
  • Acts as a liaison with other departments and outside agencies. Handles confidential personnel and student information as well as non-routine information requests and explains policies when necessary.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders; verifying receipt of supplies.
