Summary of Job Duties:The Administrative Specialist II position is responsible for providing administrative and clerical support to the school of nursing. The position reports to the Executive Director of the School of Nursing.

Qualifications:

Job Duties and Responsibilities:
  • Compose, proofread, edit and monitor various school of nursing documents.
  • Schedule orientation bi-annually for the incoming school of nursing students and faculty
  • Maintain and research data storage and student records.
  • Compile data for reports.
  • Drafts annual accreditation reports
  • Inputs faculty teaching and clinical schedules into Banner.
  • Compiles financial information used to formulate budget proposals and monitors the budget expenditures.
  • Prepare, assist in arranging and serve as secretary for varied School of Nursing programs and committees
  • Schedules appointments and maintains a calendar for the Executive Director of Nursing.
  • Communicates with faculty and staff on behalf of the Executive Director of the School of Nursing.
  • Prepares requisitions for travel arrangements and departmental purchases.
  • Prepares and enters departmental work orders through service now.
  • Maintains office equipment and sufficient supplies for the school of nursing
  • Picks up materials and supplies across campus as needed.
  • Responsible for maintaining a positive work atmosphere by acting and communicating in a manner to foster teamwork.
  • Requires consistent on-time attendance.

Knowledge, Skills, and Abilities:
  • Knowledge of grammar, punctuation, and spelling.
  • Knowledge of general office procedures.
  • Knowledge of word processing applications to include Microsoft Office Suite.
  • Operate standard office equipment.
  • Excellent customer service and interpersonal skills.
  • Provide information and assistance to faculty, staff, visitors, students, and callers.
  • Extract and organize information.
  • Work effectively in a team environment.
  • Possess skills to provide clear and concise communication, multi-tasking, and organizational abilities.
Minimum Qualifications:
  • Formal education equivalent to a high school diploma.
  • Two years of specialized training or experience in the clerical or secretarial field.
Preferred Qualifications:
  • A.A.S. degree in office administration or selected field plus administrative secretarial experience.
