Position Summary:
Facilitate the mission of the Department of Event Management by supporting the scheduling and service dissemination of event planning for the College. Provide leadership, direction and coordination in maintenance and operational needs as they relate to institutional event planning. Provide policy oversight, scheduling and service dissemination support for events related to non-College event requests. Manage the event planning process for events held on the Bread Loaf campus, approving uses as per policy.

Essential Functions:
Offer is contingent upon successful completion of a criminal background check.

Works cooperatively with others and accepts direction from supervisor(s).

Provides quality and responsive customer service, representative of the mission of the Department of Event Management.

Schedule all generated activities through 25Live to reserve space, deploy support services, and market events to online event calendars.

Provide direction and guidance to facilitate an effective and efficient process, while scheduling events in appropriate venues and in compliance with all relevant policies.

Advise event planners with regard to College policies and process as well as all requirements necessary for events to be held in compliance with VT State laws, health and safety codes, and any other statutory regulations, and institutional guidelines.

Work directly with non-college groups on all aspects of event planning. Serve as the main internal communications point for all key stakeholders on event-related details and policy guidelines.

Develop and maintain strong relationships with key internal stakeholders as well as external relationships with vendors and other essential partners.

General Responsibilities:
Support and assist other members of the Event Management team with their responsibilities as needed.

Works cooperatively with others and accepts direction from supervisor.

Communicates effectively and appropriately, both verbally and in writing, with individuals of diverse backgrounds. Ability to listen and consider the views of others.

Performs other duties as assigned to assist the department in obtaining and maintaining its mission.


Bachelor’s Degree preferred. Emphasis of study in project management a plus.

Knowledge, Skills and Abilities:
Demonstrated organizational, planning and project management skills

Demonstrated ability to lead multiple complex projects with cross-functional teams

Effective oral and written communication skills

Demonstrated ability to present with confidence to all leadership levels

Demonstrated creative and strategic thinking skills

Demonstrated skills in relationship management with the ability to develop professional partnerships in all aspects of the position that result in stable, consistent, reliable, and courteous communication

Able to work in a fast-paced, dynamic environment, managing multiple projects with varying priorities and deadlines

Strong computer proficiency including: Microsoft Office &/or Mac [i.e., Excel, Word, PowerPoint, Outlook] Microsoft Teams. Willing to learn 25Live, the College’s scheduling program of record.

Three to five years in a higher education environment or equivalent experience in an event-planning role with high customer service expectations
