POSITION SUMMARY: The Document Management Specialist works closely in a team environment with clients and the Information Systems team.  This position is responsible for all aspects of system development, operations, maintenance and production processing for the document management system; applying expertise in document management and workflow design; investigating and analyzing the feasibility of program requirements and developing document management specifications; analyzes needs, assists with the design, writing and testing new document management and workflow solutions.  The Document Management Specialist uses a full range of programming and business intelligence actions to produce several interrelated, but different products from numerous and diverse data elements and solves complex system bridging problems between the College’s enterprise administrative information systems.

 

Reporting directly to the Director Information Systems, the Document Management Specialist works independently and collaboratively to perform the following essential duties and responsibilities:

  • Ongoing design, development and implementation of the Document Management infrastructure.

  • Ensure the stability and reliability of the document management system through the use of exemplary system administration policies and procedures.

  • Participate in all phases of the software development lifecycle.

  • Develop and maintain API and workflow solutions within the Document Management ecosystem.

  • Develop and maintain ETL (extract/transform/load) processes.

  • Act as the focal point for discussions and the solution of technical problems with the Document Management system.

  • Work with business units to gather information, understand and document the business processes, needs and objectives, recommend and develop the appropriate document management solution and possible process redesign.

  • Develop, implement and maintain the necessary bridges between the document management system and the College’s other enterprise administrative information systems.

  • Develop & maintain document management indexing, queries, forms and workflows.

  • Troubleshoot document management system issues.

  • Create and maintain documentation of solutions and environment.

 

QUALIFICATIONS:  Bachelor’s degree is required.   A minimum of 3 years of experience managing a document management system is required. A minimum of 3 years of experience as a systems administrator for a Windows server running mission critical applications based upon Microsoft SQL Server is required. A minimum of 3 years of experience writing complex SQL procedures in support of a document management system; demonstrated ability to configure and maintain Microsoft SQL server in support of a critical production system.  Must have demonstrated ability to consult with staff to determine business requirements, functional requirements and input/output requirements. Working knowledge of OnBase document management software and experience with a Student Information System such as Jenzabar CX is preferred.  Experience at an academic institution is preferred.

 

REQUIRED HOURS: The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday – Friday.  Holiday, weekend and evening work hours may be required.  Travel will be required.  Regular hours may vary due to needs of the College or division.
