Job Description
The W. P. Carey School of Business, Graduate Programs Office, is
looking for a Manager who can work with and through others to build
and create graduate course schedules, maintain changes and updates,
monitor the graduate course catalog, schedule classrooms and
provide student support for online, international and on campus
elective courses. This position is part of a graduate curriculum
team reporting to the Executive Director for GPO Academics.
We’re looking for someone who is detail oriented, organized and can
produce high quality data analysis reports and research to ensure
expectations are met within given guidelines, structure, and
established policies. Someone who is able to work in a diverse
environment as part of a team and understands service centric
support with a "how can I help you" business professional
approach.
Essential Duties
- In coordination with faculty and administrators, guide the process of deciding who should be teaching which courses, which courses need to be offered when, and how they should be scheduled.
- Identify the gaps in teaching coverage by faculty.
- Schedule courses and oversee all course scheduling, maintaining the course schedule each semester in PeopleSoft; designate classroom preferences for courses in AdAstra; schedule school conference room and classroom space for courses and special events.
- Manage current and future schedules, to identify issues, ask questions, and help resolve issues that arise.
- Input instructor class funding (ICF) into PeopleSoft each semester.
- Coordinate the course evaluation process each semester, run reports using CourseEval system, and help review course evaluations at the end of each semester.
- Run course-related reports (i.e., the schedule of classes and rosters) in My Reports and Analytics.
- Manage Graduate course schedule and coordinate with administration on required credits.
- Submit and track new and modified course forms electronically in Kuali.
- Manage the Program Assessment planning, working closely with other curriculum staff, faculty, and the University Office of Evaluation and Educational Effectiveness (UOEEE).
- Other Duties as assigned.
- Participates on project teams in special studies resulting in recommending solutions or alternatives. Utilizes sound methodology to analyze management problems and/or policy implications.
- Serves as WPC GPO Review Leader for curriculum in Kuali including: Academic Catalog and Plan
- Reviews and tracks of all forms for new and existing course modifications;
- Coordination of reviews for college and support memos from Deans
- Communication with university administrative offices regarding program implementation
- Coordinates the development of data for management, policy studies, and/or research activities.
- Provides support for various curricular committees, assist the curriculum leadership in generating specialized reports for submission to executive leadership, generates reports required for local, state, federal and accredited purposes
- Assists in comprehensive academic program reviews, academic program quality assessments, and make recommendations on resource alignment.
- Facilitates curriculum planning sessions, document findings, and write reports.
Minimum Qualifications
Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Nine (9) years of related administrative experience, which includes three (3) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Experience with ASU course scheduling and assessment of courses and curriculum, in particular: curriculum support contacts, processes, and systems (PeopleSoft, Classroom Scheduling/ASTRA, Curriculum ChangeMaker, Kuali and Course Eval).
- Demonstrated knowledge of undergraduate and graduate curriculum, curricular policies and procedures in higher education; and knowledge of GPO curricula.
- Experience working with instructors, faculty, staff, and students in a higher education environment.
- Experience with hiring, supervising, and coordinating the work of others.
- Evidence of effective communication skills.
- Demonstrated knowledge of Microsoft Office applications (Excel in particular), Adobe, google docs, google forms, and google sheets, Dropbox, Experience in adapting to new technology.
- Evidence of working effectively in a collaborative environment subject to changing priorities, tight cyclical deadlines and potentially conflicting outcomes.
- Evidence of being detail-oriented, skilled at multi-tasking, enjoying puzzles and problem solving, and making decisions in line with organizational goals and around critical deadlines.
Working Environment
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.
