The position of Operations Specialist will be responsible for administrative, programmatic, financial and development duties in support of the BBI Chairman and BBI senior leadership, supervising support staff, performing and assisting with HR and Payroll tasks, and coordinating efforts with BBI Project staff across multiple projects, the College of Law Offices of Budget & Business Operations, Advancement and External Affairs, and Syracuse University. The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced environment. Qualifications
  • Bachelor’s degree or higher, or equivalent combination of education and experience.
  • Minimum of 5 years’ work experience, preferably in an academic or non-profit organization
  • Managerial experience, mentoring and training employees is preferred.
Job Specific Qualifications
  • Strong ability to handle multiple priorities and work across many different projects and programs while maintaining a high standard of quality and accuracy.
  • Advanced knowledge of Microsoft Office and Adobe Professional suite.
  • Research and data gathering ability, analytical skills, ability to read and interpret documents, legal, financial and other; organizational skills; verbal and written communication skills; ability to prioritize tasks and manage multiple projects.
  • Working knowledge of university Human Resources, Payroll and Financial systems.
Responsibilities
Provide programmatic, financial and administrative support to the BBI Leadership Team working with the Director of Operations and Business Manager and by independently managing and prioritizing related processes and resources of the Institute, including the supervision and coordination of BBI support staff and students.

Co-manage the Appellate Brief Legal Training project and provide management support for the Disability Rights Bar Association ( DRBA ) program between the DRBA Board and BBI support staff.

Process new hourly temp and student hires, preparing personnel folders through completion, communicating BBI policies and procedures with employees, and assisting with human resource and payroll related questions. Assist with weekly and semi-monthly time reporting, submission of payroll forms including online chartstring changes, Payroll Account Reallocations, and Requests for Addition Pays.

Assist with monthly and annual project financial and related progress reports, preparing required project-specific forms, assisting with proposals, and serving as backup to the Director of Operations working with Project Directors and the Offices of Sponsored Accounting and Sponsored Programs.
