Position Summary

The Office Coordinator is the initial point-of-contact for the office of the Associate Vice President of Academic Affairs’ office ( AVPAA ) and is responsible for providing prompt, accurate, exemplary customer service to a diverse population of administrators, faculty, staff, students, and others through multiple methods of contact.

Essential Job Functions of Position

The Office Coordinator is responsible for building and maintaining excellent professional working relationships with all university and community members.

Must maintain confidentiality and use sound judgment and discretion, observing all privacy regulations per federal (e.g., FERPA, HIPAA ), state, and university requirements.

Provide high-level administrative support for the AVPAA, including responding to internal and external customers’ requests through multiple forms of communication. Process invoices, purchase requisitions, payment, and travel vouchers.

Manage AVP and other calendars to anticipate and prevent scheduling conflicts. Coordinate events/meetings, reserve space, order food service, prepare materials and agendas as needed or directed. Maintain accurate records of invoices and receipts processed to assist with budgeting.

Assist with special projects, programs, and committees. Provide support to staff in the collection of HLC evidence and documentation. Assist staff with the annual university catalog update. Provide support for graduate program common duties (e.g., admissions).

Provide support to AVP in the areas of corrections education, general education, academic exceptions, student concerns, assessment, KBOR initiatives, etc.

Serve as the department representative for committees or initiatives as required or requested.

Will handle sensitive issues and be required to address a variety of concerns referred to the office. Will need to anticipate, identify and gather information on critical issues while obtaining advice and input from other campus resources for the AVP .

Perform additional job-related duties as assigned or as appropriate.

Non-Essential Job Functions of Position

Education and Experience

Bachelor’s degree or a combination of post-secondary education and additional administrative support experience equivalent to a degree.

Experience coordinating programmatic activities, and generating reports of programmatic activities and outcomes.

Preferred: Previous Ellucian Banner experience.

Knowledge, Skills & Abilities

Proven ability to provide effective customer service. Effective communication and interpersonal skills. Ability to work well as part of a diverse team. Ability to work collaboratively in a complex environment.

Proficiency in Excel, Word, and Outlook. Detail-oriented. Ability to extract, analyze, and transmit complex technical information from a variety of sources. Demonstrated competence with data collection, retrieval, and management.

Willingness to undertake new projects, work with minimal supervision, and be a team player. Demonstrated organizational and problem-solving skills. Proven ability to maintain confidentiality.
