Job Summary/Basic Function:
NOTE: This position will be filled as an Administrative Specialist I (grade N23) or an Administrative Specialist II (grade N24) depending on candidate qualifications.

This is an administrative support position for the Division of Online & Continuing Education at Weber State University. The position provides operational and clerical support to program administrators and supervises part-time hourly/student aide positions. This position is self-directed and may work autonomously at an off-campus location providing direct operational support for multiple educational centers to include scheduling employee coverage, coordinating with different departments that provide services at the locations, initiating rental agreements with community entities using the classrooms, and making arrangements for facility upkeep, custodial care, and minor event support. This position may oversee and/or submit financial requests for the operation of various programs and multiple extended-campus locations, reconcile credit-card transactions, and review departmental purchases. This position may manage course setup and payroll for academic classes supported by multi-million dollar instructional wage and self-support budgets. Other operational responsibilities may be assigned as needed. The position provides operational and clerical support to program administrators and supervises part-time hourly/student aide positions. This position is self-directed and may work autonomously at an off-campus location providing direct operational support for multiple educational centers to include scheduling employee coverage, coordinating with different departments that provide services at the locations, initiating rental agreements with community entities using the classrooms, and making arrangements for facility upkeep, custodial care, and minor event support.

Required Qualifications:
High School diploma, or equivalent

One year secretarial, administrative, operational or financial support, or customer service experience. This could be in a volunteer position as well as an employment situation. Can be combined with certification or higher education to reach minimum experience level

Proficient in MS Word, Excel, Email, or other basic office software applications.

Preferred Qualifications:
Experience in higher education involved with course planning or setup, financial or payroll issues, enrollment, or student and faculty support. Good people skills and successful experience supervising others.

Experience with data entry programs (i.e. Banner or similar) and data accessing programs (i.e. Argos, Crystal, or similar).

Associates degree or related certification

Experience in an office management or supervisory role; this could be concurrent to the required three years of experience.

Comfortable learning new software programs independently and on the job ­job; needs to be able to stay current with updates.

Able to problem solve complex issues and independently (or as part of a team) seek out and implement a solution.

Detailed oriented and able to review information for accuracy.

The annual salary range for this position is $30,000 to $31,000 depending on candidate qualifications. The position comes with a generous benefits package. Visual Acuity Requirements including color, depth perception and field of vision: Required to perform activities such as preparing and analyzing data and figures; transcribing; using a computer terminal; extensive reading.
