Position Summary/Job Description

 

The Administrative Assistance of the Office of Diversity, Equity and Inclusion provides advanced administrative support to the Office of Diversity, Equity and Inclusion by answering, screening, and responding to inquiries on behalf of those in the Office. The Administrative Assistant will do extensive drafting, typing, proofreading, and editing basic to complex documents; creating and maintaining confidential and sensitive files and records; opening, distributing, and independently and proactively responding to mail; maintaining inventory and ordering supplies; reviewing invoices and resolving discrepancies. The incumbent further participates in and supports special projects, proactively tracking the status of work in progress. Autonomously initiates timely follow-up action to ensure adherence to established project timelines and effectively collaborates with others to contribute to project completion. The Administrative Assistant also interacts with individuals both within and outside of the College to gather, provide, clarify, and resolve routine to complex information. Resolves daily work issues that may have both short- and long-term impacts and may serve as a liaison between various College Divisions. The incumbent also speaks and acts on behalf of the Office regarding various issues and topics that may cross College Divisions. Interacts directly with external contacts in a liaison capacity on behalf of those supported and drafts and processes contracts for external vendors to be processed through the proper channels; initiates and independently composes correspondence, often of a diversified, complex, technical, or confidential nature. Organizes and prepares complex documents and presentations requiring the integration of multiple office technology and software applications; maintains calendar for those supported, scheduling, and recording appointments as requested. Arranges travel plans on behalf of those supported; utilizes word processing equipment and software regularly to develop complex documents, tables, macros, charts, custom manuscripts, formulas, etc.; import and export data and graphics; design and create a routine to complex presentation materials; perform custom formatting, etc., and perform basic input and editing of text for correspondence, etc. the Administrative Assistant also collects data from multiple sources both within and outside of the College, performs a variety of calculations, and conducts an analysis of all data for review by those supported; manages the schedule for the atrium conference space outside of the gallery and provides support to the President’s Advisory Council on Diversity, Equity, and Inclusion, such as taking minutes and supporting and maintaining the website.

 

Required/Minimum Qualifications

 

  • High School diploma or equivalent required with a minimum of three years of related work experience.
  • Effective communication and interpersonal skills. Working knowledge of standard office equipment.
  • Computer proficiency with an emphasis on word processing, spreadsheet, and data management skills.
  • Advanced ability to work autonomously and efficiently on time sensitive projects. Basic courtesy, tact, diplomacy, negotiation, and influence skills, as well as effective problem-solving skills and the ability to prioritize and organize work schedule, multi-task, and meet established deadlines.
  • Excellent writing, proofreading, typing, keyboarding, recordkeeping, and organization skills.
  • Demonstrated ability to interact with a culturally diverse population and to effectively and respectfully function and communicate within the context of varying beliefs, behaviors, orientations, identities, and cultural backgrounds.

 

Preferred Qualifications

  • Associate’s Degree
  • Experience working at Community Colleges and providing support to an office with internal and external stakeholders
