Position Information

This is a full-time, permanent (probationary) position.

Conditions of Employment

The salary range for this classification is: $3,352 - $5,639 monthly.

Major Duties

Under the general direction of the Associate Dean of Students, the incumbent independently performs a variety of specialized administrative and analytical duties and services as a program administrator. Coordinates entire clerical and administrative support functions and performance of secretarial and administrative work for the Office of Community Standards, Basic Needs, and Presidential Scholars. The incumbent will monitor student conduct case loads and communicate with various departments on campus regarding status updates, and sanctions, and the closing of cases. Additionally, the incumbent will ensure student conduct cases are closed in a timely and efficient manner. Work is performed independently under general direction of the Associate Dean of Students. Work involves independently planning and decision making on day to day operations. Specialized policies and procedures such as Executive Orders, Students Rights and Responsibilities, and Student Code of Conduct, are interpreted and applied. The Assistant to the Dean of Students must manage multiple projects and assignments and be able to prioritize work among multiple departments.

Qualifications

Required Education: The entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Experience: Several years of related office experience, equivalent to (4) years.

Required Knowledge, Skills, and Abilities: Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems and ability to use a broader range of technology, systems, and packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections. Ability to draft and compose correspondence and standard reports. Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.

Responsibilities

45% - Student Conduct Support - Provide clerical support to the Associate Dean of Students and Associate Director of Community Standards. - Lead all clerical and administrative support functions in an administrative office, to include : receiving visitors interacting with and solving problems for administrators, staff, faculty and students. - Make travel arrangements for professional staff, completing expense claims, handling confidential & personnel documents. - Schedules staff and department meetings and appointments. - Handles a broad range of operational and procedural office and administrative problems which may at times require research, analysis, and evaluation of information to come to a solution. - Prepare and gather materials for reports and special projects. - Establish and maintain student conduct files. - Inputs and analyzes data in student conduct management system (Maxient). - Reviews and monitors student conduct cases, and procedures and assures appropriate communication is taking place in a timely manner. - Assess Office of Community Standards procedures and processes and provides feedback to the Associate Dean and Associate Director regarding organizational policies and effectiveness. - Schedules appointments, meetings, manage calendars, phone calls, taking messages, and ensuring the appropriate steps are taken for a resolution. - Effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations involving student conduct or CARE Team. - Work requires coordination with individuals at all levels within the organization. As needed, acts as representative to outside entities. - Works with the Associate Director of Community Standards to plan and organize civility campaigns. - Assist with FBI and Educational Register investigative agents for disciplinary background checks. - Reconcile Procurement Card & Invoices

30% - Basic Needs Department Support - Provide clerical support to Case Manager, Basic Needs Coordinator, and Cal Fresh Coordinator. - Make travel arrangements for professional staff, completing expense claims, handling confidential & personnel documents. - Prepare and gather materials for reports and special projects. - Schedules appointments, meetings, manage calendars, phone calls, taking messages, and ensuring the appropriate steps are taken for a resolution. - Work requires coordination with individuals at all levels within the organization. As needed, acts as representative to outside entities. - Reconcile Procurement Card & Invoices - Handles and manages invoices and tracking budget. - Prepares Hospitality and E-hire/E-fast forms. - Provide lead work direction, training and guidance to others in the unit needed.

15% - Presidential Scholars Support - Assist the Director with administrative needs in support of the program

10% - Timekeeping for Student Conduct, Basic Needs, and Presidential Scholars and other duties as assigned.
