Job Summary:

The Event Coordinator provides support for staff and programs associated with The Caruth Institute including the following:

1) Provide operational support on programs and events

2) Provide communications support on programs and events

3) Provide general administrative support to the Executive Director, Assistant Director, and the Institute 

4) Provide general administrative support for Caruth faculty and students

Essential Functions:
  • Program/Event Operation Support: Assist in planning and scheduling. Responding to inquiries, handling registration and enrollment, oversee catering/space management, coordinate/schedule arrangements for speakers, process payments, order and organize materials. Sourcing vendors of promotional items to secure competitive rates. Collaborate with others on events.

  • Program/Event Communications Support: Assist in marketing communications, promotions, and emails, telesales, and participant/attendee recruitment efforts. Update and maintain website and social media. Assist in creation of event/program collateral.

  • Administrative Support: Including processing invoices, purchasing, cost budgeting, helping to oversee the day to day operations of the Institute, keeping database current, filling out and processing expense reports, billing registrants, etc. Be primary contact for telephone and email inquiries.

  • Faculty & Student Support:  Assist with speaker logistics, coordination, and arrangements, course administrative issues, and interacting with for-credit and non-credit students.  Process awards to winning teams.

  • Occasional evening and weekend work for specific events

  Qualifications   Education and Experience:

Bachelor’s degree is required, preferably in English or Communications.

Experience in event planning, collateral development, and social media is desirable.

Experience creating communications sharing success stories to a target audience is preferred.  Experience promoting events, fundraising, or promoting for a cause is a plus.

Knowledge, Skills and Abilities:

Candidate must demonstrate strong verbal and interpersonal communication skills with the ability to forge strong working relationships with a wide range of constituencies. Must also demonstrate the ability to communicate effectively in writing. A strong customer service orientation is essential.

Candidate must have strong time management, organizational and planning skills with the ability to prioritize, and manage multiple tasks. A strong focus on attention to detail is essential.

Candidate must demonstrate strong problem-solving skills and the ability to be resourceful, proactive and seek assistance as needed. Since the Caruth Institute is an entrepreneurship center with a small team, candidate must be a self-starter and demonstrate the ability to work independently to further the objectives of the Institute, and must exhibit the utmost level of professionalism, be a team player, and especially comfortable working in a dynamic and fast moving environment.

Candidate must be proficient in Microsoft Office, internet research, LinkedIn and other social networking tools is required. Experience in database management, electronic event management tools, and estore/ecommerce tools is preferred.
