The Gynecology and Obstetrics Department is seeking an Administrative Coordinator.

Specific Duties & Responsibilities:

This position assists with the management, administration, and implementation of duties within the division of GYN Specialties, including coordination of patientcare, quality improvement, and assist with grant management activities for the HIV Women’s Health Program. Other duties will include work with GYN/OB Division Manager at East Baltimore. The position reports directly to the Manager of Gynecologic Specialties and has a reporting relationship to the Nurse Manager and Program quality and compliance Manager to ensure efficient and coordinated functioning of the Division as a unit.

  • Assist in the development of new administrative policies and procedures as needed to ensure smooth operation of the Division.
  • Provide information concerning Division, Department, and School policies to divisional personnel. Provide divisional information as requested by Department, School, Hospital, or other external entities as requested and appropriate
  • Organize Johns Hopkins HIV Collaborative interdepartmental Quality Management meetings.
  • Responsible for coordinating with the Bartlett Specialty Service for gynecologic supplies needed for reproductive health services provided.
  • Assists in the development of policies to operationalize HIV GYN clinic services

Clinical Program Planning and Management:

  • Responsible for communicating all critical EPIC updates to Faculty.
  • Responsible to work with Central Scheduling and clinical managers to set up templates in EPIC for Bartlett Woman’s Group.
  • Clinical Administrator liaison for Johns Hopkins Woman’s Health Group.
  • Serves as a liaison to health care agencies, Fellowship organization and insurance companies in a manner consistent with the University's policies and goals.
  • Reviews and reports patient satisfaction to leadership.
  • Addresses patient complaints and ensures prompt resolution of their concerns.
  • Assist quality improvement for Gyn Specialties.

Climate Setting and Leadership:

  • To conduct self in an exemplary fashion to achieve goals and set example for others within the division.
  • To establish communication channels with staff and faculty to ensure that they receive information on internal and external issues which effect the operations of the assigned areas, as well as provide advice, assistance, and service that aids them in attaining related objectives; and to be a source of information to senior leadership and other external and internal personnel.

Administration:

  • Liaison for patients issues and refers to appropriate channels for resolution as necessary.
  • Completes all high-level administrative correspondence.
  • Trains new office staff in all duties in the administrative office.
  • Maintains all vacation and time off for Faculty Members.
  • Responsible for all SAP tasks.
  • Assists with the development and dissemination of GYN call schedules and floor attending.
  • Assist Spanish-speaking patients who need assistance when calling the administrative office.
  • Acts as supervisor in the absence of regular supervisor.
  • Coordinates meeting for Gyn Specialties providers
  • Assist MIGS surgeons in completing FMLA/disability forms

Minimum Qualifications (Mandatory):

  • High School Diploma/GED.
  • 3 years related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

  • Internal: Department of Medicine Administration, Department of Medicine Billing Office, Registrar's Office, Research Accounting, Accounts Payable, Purchasing and Information Systems. Various other departments and divisions in the School of Medicine.
  • External: External affiliated hospitals, and various vendors and service providers (e.g., supply companies, professional medical organizations and societies, contractors).

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
