Sr Associate Registrar, Curriculum & Scheduling

Reporting to the University Registrar, the Senior Associate Registrar serves as a key leader in the Office of the Registrar, with direct responsibility for scheduling, academic records, and curriculum management. Manages curriculum and auditing processes for all five schools, ensuring accuracy and compliance with University requirements and policies. Implements DegreeWorks and catalog updates to comply with accreditation standards. Manages academic commencement process. Maintains graduation auditing processes for law and SPCS. Maintains policies related to and oversees dissemination of curriculum-related materials. Oversees domestic and international transfer evaluation and areas of international education including study abroad and exchange programs, ensuring compliance with all University policies. Oversees course scheduling process for all five schools. Collaborates with deans, departments, and academic offices. Supervises three exempt positions: Associate Registrar for Scheduling, Transfer and Curriculum Analyst, and Senior Transfer and Curriculum Analyst.

RESPONSIBILITIES:

  • Oversees daily activities in the Registrar's Office, setting project deadlines, resolving issues, managing office scheduling, ensuring coordination and communication between areas of the office.
  • Interprets and implements registrar's office internal policies.
  • Oversees professional development for staff, including serving as a resource for supervisors.
  • Serves in capacity of department head in absence of University Registrar.
  • Modifies office processes to meet changing University needs.
  • Oversees maintenance of registrar's office data production calendar for running mission-critical and time-sensitive processes.
  • Reviews and maintains inventory of updated position descriptions for the office.
  • Manages employment processes to get positions posted on our University online website
  • Manages special projects.
  • Serves as a member of the Registrar's Office management team.
  • Oversees curriculum change process for the arts and sciences, business, leadership studies, law, SPCS, and graduate business curricula, managing Banner, catalog, and DegreeWorks updates, ensuring accurate representation of the curriculum across platforms
  • Serves as a resource for deans and department chairs on curriculum processes, working with them to coordinate curriculum updates.
  • Monitors schedule and curriculum to ensure compliance with accrediting body standards
  • Interprets and implements academic policies, making recommendations to the registrar and appropriate dean/associate deans
  • Uses Scribe programming language to update DegreeWorks, the University's degree audit system. Makes decisions on appropriate methods to track degree requirements, adding course attributes where needed.
  • Monitors program changes, recommends initiation of SACS Substantive Change reporting process to University Registrar where appropriate.
  • Manage process for applying approved degree exceptions for individual students.
  • Works with SPCS, Osher, and Executive Education to evaluate potential programs and determine feasibility of set up and scheduling.
  • Audits degree and residency requirements for law candidates each semester.
  • Coordinates with law school Associate Dean to accurately award transfer credit.
  • Manages law rank process, confirming cohort placements, running rank job, translating ranks to law school criteria, and applying ranks to student records.
  • Applies approved degree exceptions for individual students on GradTracker.
  • Oversees auditing of degree requirements for the undergraduate programs of A&S, Business, and Jepson.
  • Oversees evaluation, recording, and notification of students and advisors of domestic and/or international transfer credit, for all first-year entering, transfer, and current students.
  • Oversees evaluation and recording of all advanced standing credit for incoming first-year students, such as AP and IB, which includes notifying admission and communicating with academic departments regarding equivalencies and policies
  • Implements and maintains major/minor, general education and degree requirements in GradTracker.
  • Works with department chairs and deans in coordinating catalog copy with DegreeWorks requirements.
  • Verifies SPCS audits for all degree candidates and updates DegreeWorks with exceptions as needed.
  • Reviews and processes exceptions to degree, general education, major, and minor requirements in DegreeWorks based on department requirements and requests.
  • Oversees academic graduation processes to include commencement and departmental honors recording, general program and reader's lists preparation, and diploma proofing.
  • Oversees logistics for commencement ceremonies.
  • Carries out graduation-related responsibilities for all SPCS and law degree candidates.
  • Processes and maintains SPCS and law degree applications in Banner.
  • Verifies names, honors, hometown, and prior college and degrees for diplomas and graduation programs for SPCS and law graduates.
  • Works with SPCS to verify honors and graduates for SPCS commencement program.
  • Verifies honors and student information for law commencement program.
  • Develops law commencement reader's list in conjunction with law school Dean's Office.
  • Responsible for performing checks on degree candidates in SPCS and law to verify that they have completed the required credit and residency hours as stated in the catalog.
  • Coordinates mailing of SPCS & law diplomas.
  • Oversees production of credit and non-credit schedule for five schools
  • Convenes Classroom Committee
  • Oversees Classroom Committee budget for summer projects
  • Identifies and prioritizes summer classroom projects
  • Oversees classroom inventory
  • Oversees verification of pre-conversion (pre-1977) and converted (1977-1991) Banner records, making necessary adjustments to ensure academic integrity and, ultimately, removing transcript holds.
  • Oversees the entry of pre-Banner records (1920-1977) into the Banner system, requiring in-depth knowledge of both historical records and Banner.
  • Performs functional testing of Banner upgrades and provides functional assistance and testing for new initiatives.
  • Responsible for understanding and complying with the University of Richmond's Family Educational Right to Privacy Act Policy (FERPA) for student records.
  • Assists with graduation-related activities as needed, to include working over commencement weekend.
  • Assists with any other tasks required by the Registrar's Office as time allows or as requested.
  • Additional duties as may be assigned to meet the goals of the Registrar's Office specifically and the University of Richmond generally.
