Job Summary

The individual in this position provides administrative support to the Director, faculty, and staff of the School of Fisheries, Aquaculture, & Aquatic Sciences North Auburn E. W. Shell Fisheries Research Center.

Essential Functions

Duties include, but are not limited to the following:
Performs multiple duties which are a mix of administrative and clerical in nature, may include but not limited to data gathering, correspondence, filing, calendar management, database management and document preparation, answering phones, event scheduling, and ordering supplies.

Maintains the Fisheries center financial records including purchase orders, bids, inter-departmental billing, external billing and general accounting. Weekly banking duties and handling petty cash/checks. Reconciles banking, Purchasing cards, invoices, and billing discrepancies. Assist or lead special sale events and mid-week market sales. Operates Quickbooks for income and expenses on multiple accounts.

May provide budget tracking and monitoring, payroll processing, travel/expense voucher/procurement processing, and other financial and accounting procedures.

Inputs and coordinates work orders with Facilities Management. Directs building issues from numerous faculty, staff, and students in the many buildings at the Fisheries Center to the appropriate channels. May coordinate maintenance of equipment and fleet vehicles.

Serves as central communications facilitator and liaison between the Fisheries Center Director/Staff and faculty, students, other agencies and the public.

Prepares and composes correspondence, databases, documents, newsletters, reports and manuscripts.

May advise staff, clients, and outside agencies of standard policies and procedures.

Requirements for Additional Job Levels

Level II requires a high school diploma or equivalent and 2 years of experience in clerical and administrative support services. Salary range: $20,300 -$33,800

Education Level

Indicated education is required; no substitutions allowed.

Minimum Skills and Abilities

The successful candidate must have excellent interpersonal communication and organizational skills and have demonstrated ability to multi-task, set priorities, meet deadlines, and work both independently and as part of a team.

Minimum Technology Skills

Basic knowledge of standard office equipment and procedures.

Minimum License and Certifications

None Required.

Desired Qualifications

Desired qualifications include: knowledge and experience with Microsoft Word, Excel, PowerPoint, WordPerfect, Adobe, Access, e-mail, Internet, etc.; Familiarity with Auburn University administrative and financial policies, procedures and the AU Banner system.
Other desired skills are knowledge of various office equipment and ability to work with a diverse group of people.
