Position Summary

 

Provides administrative support of considerable complexity, performs general office functions

and administrative work as required and under the supervision and direction of the Senior

Executive Assistant to the President and the Board of Trustees. Provides support for the

President, Board of Trustees and other staff as assigned. Schedules committee meetings,

prepares meeting materials, travel arrangements, and executes other general office

responsibilities. Works under broad general instructions. Must work with some degree of

independence and on own initiative, and exercise absolute discretion and confidentiality at all

times.

 

Essential Responsibilities

 

The Executive Assistant provides general administrative support such as answering, screening,

and responding to inquiries on behalf of the President and other staff as assigned; drafting,

typing, proofreading, and editing basic to complex documents; creating and maintaining

confidential and sensitive files and records; opening, distributing, and independently and

proactively responding to correspondence; maintaining inventory and ordering supplies;

organizing the work assignments for part-time staff/work-study students. In addition, the

Executive Assistant coordinates room scheduling for the President, Senior Executive Assistant

to the President and Board of Trustees, and others. At the direction of the President, develops

and writes speeches, briefings, and other communications.

 

Position Requirements

 

  • At least three years of administrative assistant experience in a college setting, with a

thorough working knowledge of office routines, procedures, and technology.

Community College experience strongly preferred.

 

  • Bachelor’s Degree preferred, Associate Degree required. Bilingual (Spanish/English or Arabic/English) is highly desirable.

     

  • Strong interpersonal skills. Ability to interface with the College community and public in

a courteous, customer-friendly manner, and to effectively communicate and interact

with students, faculty, and staff on a daily basis. Experience working with a culturally

diverse college population is highly desirable.
