JOB DESCRIPTION

The Administrative Assistant for the Shaheen College of Arts and Sciences serves as the first contact for students, faculty, staff and visitors. Responsible for managing the department’s office and needs of the chair to include scheduling management, organizing meetings, interacting with other administrative units on campus and arranging special events. The administrative assistant will also assist the faculty members with general administrative duties, which may include mail, copying, distribution, make-up assessments, office supply ordering and inventory. During the summer, the administrative assistant may serve the dean's office.

RESPONSIBILITIES

  • Manages schedules for those in the Dean's Office, scheduling appointments and activities for the Deans while coordinating schedules of other participants.
  • Arrange flight and hotel accommodations for the Dean and occasionally for guest lecturers and new faculty interviews.
  • Manages finances for the College to include: processing payroll requests, travel vouchers, disbursement vouchers, and credit card reports; recording and monitoring expenses; managing to departmental budgets; and maintaining a database of funding requests.
  • Greet high volume of faculty, staff and students who come in to contact with the SCAS office, whether by personal contact, phone or email.
  • Manages office responsibilities to include: supporting College committees, managing needed spreadsheets, scheduling meetings, managing office needs, and maintaining files.
  • Communicates effectively in-person, over the telephone, and in writing with College and University leadership, occasionally about confidential information.
  • Supports the needs of specific departments within the College.


QUALIFICATIONS

  • At least two (2) years experience as an administrative assistant or in a similar position is required.
  • Proven experience to create and maintain large and complex MS Excel spreadsheets and MS Word documents is required.
  • High school diploma required
