Managing Administrative Assistant in IRT

Position Summary:

The Office of the Senior Vice President and Chief Information Officer (CIO) has a vacant Managing Administrative Assistant position within Information Resources & Technology (IRT). IRT is seeking an individual with strong communication, organization and management skills who has the ability to collaborate with a dynamic team. The Managing Administrative Assistant will be responsible for coordinating all managerial and administrative aspects of the Office of the CIO. This individual must be able to quickly learn new technologies and fill a leadership role in IRT, as well as exercise professional and discretionary judgment while maintaining the confidentiality of sensitive material.

Responsibilities:

  • Scheduling and maintaining the CIO’s calendar
  • Monitor incoming mail, texts and telephone calls to ensure issues are dealt with in timely & efficient manner and greet visitors on campus
  • Function as the primary liaison between the Office of the CIO and other campus constituents
  • Monitor the signing processes and maintain appropriate records of initiatives pertinent to services provided and/or purchased by IRT
  • Oversee and supervise the administrative support team within IRT, including employee reviews, scheduling and the assigning and assessing of work
  • Create, organize and maintain records and files as needed
  • Make administrative preparations for the CIO and IRT managerial meetings, including arranging locations, invitations and catering services when needed
  • Coordinate travel arrangements as necessary
  • Fulfill Departmental Time Keeper (DTK) responsibilities for IRT, including ensuring Web Time Entry (WTE) timely submissions
  • Process and maintain records of managerial memberships and subscriptions
  • Manage IRT employee leave requests
  • Manage purchasing of Office of the CIO supplies and IRT’s stationery & business cards
  • Produce ad-hoc reports upon request from various administrative support systems, including cellular, fax and other telephony-related systems
  • Prepare budget transfers, credit card requests, expense reports, etc., as needed
  • Supervise student employees from hiring to time keeping and task management
  • Comply with all University and divisional policies and procedures
  • Other duties as assigned


Education

Bachelor’s Degree or equivalent position related experience is preferred.

Experience

A minimum of three (3) years of administrative experience including responsibility for office management is required.

Strong background and knowledge of accounting and finance procedures and standards, preferably with Banner application

The successful candidate will be professional, dependable, efficient and a team player capable of taking initiative & working unsupervised. IRT is looking for a multi-tasker with integrity, excellent communication skills and a practical knowledge of office administration in a professional environment and policies and procedure application, as well as demonstrated organization and administrative skills and proficiency in Google Docs and the Microsoft Office Suite, including Outlook, Word and Excel.
