Job Summary

The Student Success and Operations Coordinator works in collaboration with the Dean, associate deans and Director of Resources and Operations to coordinate and administer critical student and faculty success operational and assessment related tasks.

Key Responsibilities
  • Provide operational support for all college orientations.
  • Provide course and co-curricular support for various events and programs (e.g. GoAL, faculty recruitment events, guest speakers), including video recording of some events.
  • Increase student participation at college-sponsored events and conferences – handling registrations, extra-credit verification (via card swipe system).
  • Support faculty in scheduling and usage of College of Business labs.
  • Coordinate the appropriate constituents for various email/group distribution lists.
  • Maintain faculty office hours and contact information listings for student access.
  • Administer the college’s Vimeo account, serve as back-up for website updates for website content providers in various college offices.
  • Coordinate faculty use of WRDS (Business Research database) access, and other LCoB licenses.
  • Provide work lead direction to student assistants.
  • Coordinate Ongoing College Operational Assessment Needs.
  • Create and administer all college-wide Qualtrics surveys, including those from the Jack Holland Student Success Center, mid-semester informal faculty evaluations, etc.
  • Administer a college-developed add code system that is used to block schedule new transfer students to the college.
  • Provide administrative support for ALEKS (Assessment and Learning in Knowledge Spaces), a tool used for accounting students.
Knowledge, Skills & Abilities
  • Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas
  • Demonstrated ability to provide high level customer service to students, faculty and staff
  • Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations
  • Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist
  • Ability to generate data-driven reports (using Excel, Google Sheets, and other related tools)
  • Ability to learn new software tools, including Qualtrics, Sedona and ALEKS
  • Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference
  • Strong written and oral communication skills
  • Ability to handle multiple work priorities, organize and plan projects
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group
  • Ability to train and coordinate a small team of students
  • Proficient in PC compatible software programs such PeopleSoft, MS Office and Excel
  • Knowledge of university and CSU system level technology resources
  • Proficient in SJSU applications: (e.g. Financial Transaction Services (FTS), Common Finance System (CFS)/Data Warehouse, MySJSU, SJSU@Work, CHRS, possibly eFaculty and other current software applications).
  • Ability to perform accurately in a detail-oriented environment
Required Qualifications
  • Completion of a high school program, technical/ vocational program, or their equivalents
  • Three years of related office work experience
Preferred Qualifications
  • Bachelor’s Degree
  • Minimum of two years demonstrated experience handling multiple work unit priorities
  • Demonstrated proficiency in Word, Excel and PeopleSoft (CMS/FTS/CFS)
  • Experience with higher education environment
  • Demonstrated strong Customer Service experience
  • Demonstrated knowledge of SJSU student services procedures 


Compensation

Classification: Administrative Support Coordinator II
Anticipated Hiring Range: $3,750/month - $4,300/month
Salary Range: $3,352/month - $5,639/month
