Job Summary

Reporting to the Director of Resources and Operations (DRO) and working independently under limited supervision, the College of Administrative Analyst provides complex administrative support to the Dean’s office and the College of Social Sciences. The Analyst is responsible for the analysis and managing of all temporary faculty contracts and appointment processes, academic scheduling, college scholarships, and the day-to-day administrative operations of the Dean’s Office. The incumbent provides oversight and leadership for faculty services for the college, including support for temporary faculty evaluation, range elevation, and assigned time processes. The incumbent works with the Director of Resources and Operations, Associate Deans, and departmental staff to identify, develop, create, and/or update College-wide policies and procedures. Incumbent has broadly delegated authority for administrative functions, and for collaboratively working with members of University Personnel and other key staff on campus for the respective practices, protocols, and guidelines.

Key Responsibilities
  • Coordinates and oversees daily administrative operations of the Dean’s Office and assuring staff and student assistant work is assigned and completed in a timely and accurate manner
  • Provides leadership in evaluating and identifying college-wide processes and templates that need to be reviewed, updated, or improved
  • Provides procedural training to department faculty, staff, and other units when necessary and provides regular feedback on staff performance to the DRO
  • Oversees all student appointment processes for the college and ensures appropriate appointments for students assistants, including Graduate Teaching Associates, Instructional Support Assistants, Student Assistants, Research Assistants and student assistants in ACCESS
  • Advises Dean, DRO, Associate Deans, Chairs, faculty, staff, and students with regards to policy and procedures for administration and management of temporary faculty
  • Works with internal and external departments to ensure that temporary faculty contracts and appointments processes are efficient and accurate
  • Manages the academic scheduling process, including large room scheduling, for the college
  • Advises Dean, DRO, Associate Deans, Chairs, faculty, staff, and students with regards to policy and procedures for administration and management of scheduling
  • Develops scheduling procedures and guidelines for the college in collaboration with Academic Scheduling and the Associate Deans

  • Knowledge of organization principles, complex and large budgets, and strategic planning
  • Knowledge of computing applications and computerized information systems with the ability to learn new systems in a highly technical environment
  • Excellent organizational, planning and analytical skills
  • Excellent customer service and public relations skills
  • Excellent communication, interpersonal and responsive skills to establish and maintain professional and cooperative working relationships with administrators, faculty, staff, students, as well as numerous local, state and federal officials
  • Ability to create, update, and design current and new policies, procedures, processes, and workflows
  • Strong analytical, problem solving and writing skills with experience using word processing, spreadsheet, database management, layout and editing programs with ability to learn new programs
  • Ability to work well independently and as part of a team
  • Ability to effectively present information and respond to questions from groups of managers, customers, and general public
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
Required Qualifications
  • A bachelor's degree and/or equivalent training
  • Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
  • Two years of progressively responsible administrative and office support
  • Experience in a fast-paced office with competing priorities
  • Experience as project manager/lead
  • Experience with HR Information Systems and standard office software applications (MS Office, Peoplesoft)
  • Experience in website maintenance
  • Experience creating various departmental reports
  • Experience in using advanced analytical tools including Excel (formulas and macros), Google Sheets and creating SQL queries


Compensation

Classification: Administrative Analyst/Specialist; Non - Exempt
Anticipated Hiring Range: $4,800/month - $5,000/month
Salary Range: $3,288/month - $6,347/month
