Job Description

The W. P. Carey School of Business seeks an Events Manager to serve on its Marketing and Communications External Events team, supporting W. P. Carey events. The Events Manager will work as part of a small team to schedule and manage events of varying size, visibility, and purpose from start to finish. Under administrative direction, performs work of considerable difficulty planning, coordinating, organizing, staffing and supervising the program delivery of special events sponsored by the school. Serves as the primary point of contact for special event logistics.

Essential Duties

  • Communicating with departments for understanding of needs in order to plan scope, format, budget, and logistics for a variety of event types
  • Coordinating multiple concurrent events and projects simultaneously. Utilizing software in support of event management and operations
  • Managing and maintaining inventory of event rentals which include signage, promotional materials, linens, and more
  • Coordinating, planning, implementing, and/or supporting community and external relations events and activities from start to finish. Duties may include miscellaneous administrative tasks, conference logistics, invitation communication, tracking RSVP’s and attendee list, and agendas, etc.
  • Coordinating with both internal and external event-related vendors and staff; negotiating contracts for event and conference space
  • Developing strong knowledge of virtual event platforms and providing technological support for Zoom and other event related platforms
  • Developing logistical plans for events, including but not limited to budget, staff, timetable, travel, and event procedures; tracks progress and maintains records
  • Assisting with and/or managing post-event reconciliation with the Accounting Department
  • Aiding in stewardship of active community partners through excellent customer service and event execution
  • Monitoring activities of student workers and student volunteers on-site at events, including scheduling and training as appropriate
  • Hiring and managing of student workers
  • Fielding internal event appearance mascot requests, scheduling and training hired student workers to fill those requests, and manage all related equipment associated with requests

Minimum Qualifications

Bachelor's degree in related field AND five (5) years administrative/coordinating experience including three years supervisory experience OR Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience in planning and executing large scale formal events on and off-site
  • Experience in managing concurrent events/projects simultaneously, demonstrating excellent time and project management skills
  • Experience with event operation software, such as Zoom and Eventbrite, is highly desired
  • Experience in being a team player who is adept at formulating plans and hands-on execution of events/projects
  • Experience coordinating and prioritizing the work activities of self and others
  • Experience with negotiating and building partnerships with vendors, and maintaining effective working relationships
  • Experience in work that required excellent attention to detail
  • Evidence of effective written / verbal communication skills
  • Experience in offering excellent customer service in a fast-paced environment to multiple audiences

Working Environment

Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting, standing, walking. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching, lifting and pushing objects of varying weights up to 50 pounds. Ability to clearly communicate verbally in English, read, write, see and hear to perform essential duties. May include exposure to external environment/climate conditions including walking on uneven surfaces, climbing and high temperatures.
