Reporting to the McClure Professor and the Citizenship & Civic Engagement ( CCE ) Program Chair, the MAX Courses and CCE Program Administrative Assistant is a detail-oriented team player who supports signature undergraduate programming in the Maxwell School of Citizenship and Public Affairs. The Administrative Assistant supports the MAX course and CCE faculty to ensure classes and programs run smoothly. Qualifications
  • Business school or 2-year degree.
  • 2-3 years of secretarial experience and/or equivalent combination of education and experience.
  • Previous experience in a college setting desirable.
Job Specific Qualifications
  • Proficiency in Microsoft Windows Office with Word, Outlook, Excel, PowerPoint, Access, etc.
  • Organized self-starter, strong oral & writing skills.
  • Knowledge of US and world events to work effectively with faculty team members.
Responsibilities
  • Course scheduling for MAX Courses & CCE ( MAX 123, MAX 132, MAX 201, MAX 301, MAX 302, MAX 310 & MAX 401).
  • Keeping track of instructor commitments to the courses.
  • Managing enrollment of the courses.
  • Set-up & maintain Blackboard sites for MAX 123, 132, and 201.
  • Preparing course syllabi for planning & final copy for distribution to students & other course materials for MAX 123, MAX 132, MAX 201, MAX 301, MAX 302, MAX 310 & MAX 401 as requested by faculty and/or chairs.
  • CCE web-site maintenance, listserv maintenance, and CCE program Blackboard site maintenance.
  • Scheduling & attend all faculty team meetings for MAX Courses and CCE Faculty Advisory Board & Teaching Team.
  • Preparing course binders with all assigned reading material for all MAX Courses team members.
  • Event planning for MAX Courses & CCE .
  • Space reservations, catering orders & travel logistics (e.g. reserving buses).
