Job Description

Embry-Riddle Aeronautical University's Information Technology group is looking to add a Document Imaging Specialist to the team. The Document Imaging Specialist is responsible for using supported technologies to enhance centralized imaging processes with a focus on document authentication and understanding University admissions and record management procedures. Applies expert knowledge in determining document readiness into permanent record status and validation as part of departmental workflow processes. The Document Imaging Specialist will support the Manager of Imaging Systems to review department efficiencies for document management and assist in maintaining departmental policies and procedures. He/She will communicate with the team and student assistants with the attitude of being a team-player that understands the various roles within the team structure and will utilize exceptional, positive, and effortless customer service with colleagues. This is a remote position, however qualified candidates need to reside in the general Daytona Beach area since there are occasions where the imaging specialist will need to be on campus for imaging projects.

Responsibilities include the following:

  • Validate electronic documents using secure download through password protected websites
  • Create digital images from paper documents and perform document image quality checks
  • Uses Student Information system and CRM to research student data points for successful document routing
  • Analyze, prioritize, and apply document metadata to conform to department workflow processes
  • Execute optical character recognition during capture processing and data validation
  • Development and design for project related input and data for document imaging procedures
  • Support the University centralized imaging model
  • Review department SharePoint site for direction on individual department tasks
  • Outline, test and assist in development of imaging system upgrades and changes
  • Improve system processes by troubleshooting workflow document issues received through email communication, CRM cases, university support ticketing system
  • Monitor and support document imaging projects
  • Support student assistants with batch scanning review and introductory training on scanning/imaging equipment


Qualifications
  • Associate’s degree and at least 1 year of related work experience in a technical role.
  • Good organizational and problem solving skills.
  • Ability to recognize and re-establish priorities, while being flexible.
  • High level of computer literacy (basic technology principles) as well as in applications (word processing, spreadsheets, database, electronic mail, and Internet).
  • Ability to communicate effectively both verbally and in writing with all levels of coworkers, staff, students and faculty.
  • Ability to adapt and learn ever changing technological enhancements.
  • Provide excellent customer service to students, co-workers, staff, and faculty.
  • Maintain cooperative working relationships using a positive and respectful attitude with supervisor/manager and other staff members at all times.
  • Ability to recognize and perform duties not directly assigned, and assists others as needed.
  • Ability to investigate, problem solve and report corrective action needed using an analytical skillset.
  • Tactfully handle difficult situations and maintain composure under pressure.
