Summary of Job Duties:The Contract Support Specialist and Scheduling Coordinator will support UA Little Rock MidSOUTH’s Safety Organized Practice Team. This position will assist the assigned team with procurement processes, administrative support tasks, and coordinate logistical needs for trainings and conferences. The Contract Support Specialist and Scheduling Coordinator will be responsible for processing all registrations and training reports for Safety Organized Practice, Structured Decision Making, or other DCFS contracted training initiatives. This position is directly responsible to the Safety Organized Practice Training Coordinator. This is a full-time annually renewed grant-funded position. This position is governed by state and federal laws, and agency/institution policy.

Qualifications:

Required Education and/or Experience:

  • Bachelor’s Degree;
  • Proficiency in MS Office Suite.


Preferred Education and/or Experience:

  • Experience working with grants/contracts;
  • Experience with Workday;
  • One (1) year of administrative experience.


Job Duties and Responsibilities

Support:

  • Assist assigned teams with procurement processes including but not limited to equipment purchases, travel coordination, and communication of programmatic needs
  • Complete administrative support tasks for assigned teams including but not limited to: spend authorization or reimbursement of designated staff, supplier request, and supplier updates, requisitions, process invoice payments, maintain files, order supplies, assist with contract tasks/registrations, delivering financial reports, etc.;
  • Book and manage hotel rooms for training and conferences;
  • Coordinate logistical needs for training and conferences;
  • Provide assistance by completing assigned tasks regarding financial processes for the assigned program in a timely manner;
  • Provide Workday and database coaching and training for program staff statewide and technical assistance as needed;
  • Serve as help for any technical issues related to training and databases;
  • Provide technical assistance with Workday expense report entries for program staff, as needed.


Data and Scheduling:

  • Course creation, registration, confirmation of registration, cancellation, and applying credit for contracted training;
  • Managing the training database by reconciling training records, performing necessary maintenance, and creating new client records.


Reporting:

  • Oversight and reporting on course evaluations for contracted training;
  • Create and distribute completion certificates for training and conferences;
  • Develop and process contract delivery reports on a monthly basis;
  • Create, update and provide custom reports for funders as well as participants and leadership as requested;
  • Other duties as assigned.


Knowledge, Skills, & Abilities:

  • Knowledge of computers and software applications with emphasis on Microsoft Office products;
  • Knowledge of State purchasing principles, procedures, and methods;
  • Ability to perform basic mathematical computations;
  • Ability to maintain accurate and systematic procurement records;
  • Proficiency in Microsoft Excel;
  • Excellent organizational skills;
  • Excellent written and verbal communication skills and ability to communicate with external and internal customers;
  • Excellent interpersonal and customer services skills;
  • Ability to prioritize tasks in a complex work environment;
  • Ability to learn MidSOUTH’s databases and ability to prepare and present routine custom reports;
  • Ability to learn MidSOUTH programs and services and to be able to answer questions regarding these programs;
  • Ability to work both independently and as part of a team or teams.
