The Office of Student Affairs at the Peabody Institute of the Johns Hopkins University is seeking an energetic, organized, and motivated individual to work in a dynamic and fast-paced environment focused on student development and wellness as aStudent Affairs Coordinator. Reporting to the Director of Student Affairs, this position provides general administrative support to the Student Affairs office suite (Student Affairs, Residence Life, Student Leadership and Engagement, and Case Management) and helps develop and support the co-curricular programs and initiatives sponsored by the office.

Located in the heart of Baltimore’s Mount Vernon Cultural District, the Peabody Institute was founded in 1857 as America’s first academy of music. Today, through its degree-granting Conservatory and its community-based Preparatory music and dance school, Peabody trains musicians and dancers of every age and at every level. Each year Peabody stages nearly 850 public concerts and performances. Peabody is one of the nine divisions that comprise the Johns Hopkins University.

Specific Duties & Responsibilities:

  • Oversee office communication
  • Organize and distribute weekly Campus Buzz newsletter
  • Manage social media for the Office of Student Affairs
  • Maintain Student Affairs website
  • Oversee Campus bulletin boards
  • Assess and suggest improvements to office communication approaches
  • Triage visitors, making certain student and other visitor needs are addressed in a prompt and welcoming way
  • Provide overall administrative support for the office
  • Answer phones, screen calls, and relay messages
  • Sort and distribute mail
  • Purchase supplies
  • Establish and maintain filing systems, office supplies and materials distribution
  • Create and maintain various databases
  • Manage special events
  • Manage annual Off-Campus Housing Fair
  • Coordinate Student Leader Recruitment process
  • Coordinate logistics for move-in process
  • Assist with other major events as needed
  • Select, train, and supervise student office assistants
  • Partner with Assistant Director of Student Engagement and Involvement to plan and implement Backstage: Peabody’s New Student Orientation
  • Develop internal and external schedules
  • Manage communication plan for incoming students
  • Manage pre-arrival checklist items
  • Coordinate with Student Health & Wellness, Registrar’s Office, and various other campus partners to manage account holds
  • Help select, train, and supervise Orientation Leaders
  • Field and respond to questions and information requests from all levels of internal (faculty, staff, students) and external individuals and organizations regarding policies, procedures and services under the purview of the office
  • Manage the general Student Affairs email and Backstage email accounts
  • Assist with managing the Residence Life email account
    • Coordinate locker rentals for Peabody students
    • Exercise independent judgment in the resolution of administrative problems. Help coordinate and facilitate the collaboration of Peabody departments to deliver services.
    • Assist the Student Affairs team with other duties as assigned
    • Engages with a variety of departments and campus partners to support the Student Affairs office with consistent and frequent interaction with undergraduate and graduate students.

    Minimum Qualifications (Mandatory):

      Bachelor’s Degree, 2-3 years of relevant experience. Excellent time management and organizational skills. Excellent customer service skills. Excellent communication skills (oral and written). Good computer skills (Word, Access, Excel, social media) and ability to quickly learn different software and systems. Ability to handle multiple tasks simultaneously. Ability to work effectively in a dynamic and fast-paced environment. Eagerness to collaboratively work as a member of a team.

    Preferred Qualifications:

    • Knowledge of music educational environment and/or classical music.
    • Experience in and/or knowledge of higher education administration.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
