Position Summary:

The Pre-Professional Advising (PPA) Administrative Assistant plays a crucial role in supporting the programming, planning and overall organization of the Center for Pre-Health Advising (CPHA) and the Center for Pre-Law Advising (CPLA). These Centers are highly collaborative, independent units which serve undergraduates and alumni from all UW-Madison schools and colleges (i.e. College of Letters & Science, School of Human Ecology, etc.) who are interested in pursuing graduate-level health professions programs or law school. The units are co-located in the William S. Middleton Building on campus.

The Administrative Assistant role is being hired at 80% (32 hours per week) and reports to the PPA Communications and Operations Manager. The position is responsible for providing administrative support to the Director, Communications and Operations Manager, and all CPHA and CPLA advisors. The role also provides front-line advising via phone, email, and in-person conversations to undergraduates, alumni, and prospective students/families who engage with the Centers. On an as-needed basis, the Administrative Assistant may also represent the units at campus resource fairs or other events aimed at broadening awareness of our resources.

Pre-Professional Advising is administratively housed in the Office of Undergraduate Advising (OUA), along with three other highly collaborative advising units: Cross-College Advising Service, the Career Exploration Center (CEC), and the UW Online Degree Academic & Career Coaching Services.

- Strong computer skills, including proficiency with all Microsoft Office applications and G Suite (Google)
- Ability to work in-person, on-campus at 80% time (32 hours/week) Monday thru Friday within the time range of 8:30am-5:00pm (regular weekly schedule will be determined through mutual agreement with supervisor)
- Ability to engage in occasional, pre-scheduled night and weekend events, conferences, etc.

Preferred Qualifications:
- Experience with event planning and management
- Experience performing administrative and record keeping tasks within an office environment
- Working knowledge of the UW-Madison campus, policies, and procedures a plus

Work Schedule:

Monday-Friday within the hours of 8:30am-5:00pm. Regular weekly schedule will be determined through mutual agreement with supervisor.
