Bard College is seeking an Administrative Assistant responsible for assisting with administration of the Division of Languages and Literature office. Working closely with Program Coordinator, the Administrative Assistant is the main liaison in the office for faculty, staff, students and outside clients for the Languages and Literature Division. This is a part-time position of up to 24 hours per week.

Primary responsibilities include but not limited to:
  • General office tasks, including scanning, printing, photocopying, emailing, handling mail, inventory, running errands, inventory and supplies, and word processing as needed.
  • Assist with calendaring for programs, planning events and conferences, announcements, promotional material, arrange travel, lodging, catering, and set-up space reservations and needs.
  • Manage Listservs, Google Groups, and update multiple websites.
  • Assist with scheduling moderation and senior project boards.
  • Assisting faculty with academic administrations, including collecting, organizing, and submitting curriculum to registrar’s office.
  • Submitting purchases, check requests, honorariums, budget transfers, faculty research and travel packets, and processing student timesheets.
  • Assist with Languages and Literature searches in coordination with Program Coordinator, search committees, and Human Resources plus maintain search files. Includes travel, lodging, meals, scheduling interview meetings and creating itinerary comprised of online interviews and/or two-day campus visits.
  • Maintain office facilities such as maintaining the copiers for staff and faculty use includes resolving issues, placing service calls, inventory, and ordering supplies. Plus building maintenance such as work order requests and environmental services requests.
  • Coordinate planning and support for L&L foreign language tutors (FLET program) in tandem with faculty and administrators on campus.
  • Work with Study Abroad office to manage logistics for language intensive travel: assisting students with required forms and ensuring completion, confirming and organizing student flight and health information, prepare and submit check requests per faculty-created budget.

Qualifications
The successful candidate will possess minimally an Associate’s Degree (a must) or a Bachelor’s Degree (preferred) plus 3-5 years relevant work experience or combination thereof. Experience working in higher education or a not-for-profit preferable. Excellent computer skills, particularly in Microsoft Office Suite, Google Suite, Adobe, Canva, and competency in one or more calendaring/scheduling programs is a plus. The ability to multi-task, while remaining focused on the work at hand is vital, as is the ability to work independently and as part of a small, but hard-working team. An eye for detail with a sense of humor is essential, and a willingness to be part of an intellectually stimulating community is a given.
