About the Opportunity:
Northeastern University Facilities Management Division is seeking an Executive Assistant to join our team. The Facilities Management division is a service-oriented organization whose mission is to be the most progressive and efficient organization that, through specialized expertise, innovation, and team work, maximizes the potential for Northeastern to achieve its goals. We are responsible for maintaining and improving Northeastern's facilities and grounds; promoting an attractive, safe, clean, and sustainable campus environment. Through our efforts we help Northeastern meet the goals and aspirations needed to advance itself and remain a leader in global experiential learning.

Responsibilities:
This position provides executive level support to leaders in the Office of the Vice President for Facilities. Responsible for managing the administrative needs of VP and other senior leaders to ensure that their time is effectively allocated and that they have the information and materials needed to advance the priorities of their offices. Provides a comprehensive range of support services to ensure the overall efficiency of the Office of the VP: provide calendar management, project support, arrange travel, submit invoices for payment, serve as delegate for time tracking, and preparation of reports, presentations, requisitions/purchase orders, and expense reports. The Executive Assistant will review, prioritize, distribute, and respond to the VP's mail as appropriate. As a member of the administrative/office support team, responsibilities also include ordering supplies, maintaining office equipment and providing general administrative office support to the department as needed. This position handles a high degree of university wide confidential information. This position requires that the Executive Assistant must have the flexibility to work before and after regular hours from time to time depending on the daily needs of the Office of the Vice President.

Qualifications:
Bachelor's degree required, Master's preferred. Minimum of 3-5 years of administrative experience required, preferably an executive setting. Applicant must be a self-motivated worker who can anticipate problems and demonstrate significant independent judgment. Detail oriented; high level of attention to accuracy and completeness required. Excellent verbal and written communication skills. Must have excellent computer skills including, Microsoft Office (Word, Excel, PowerPoint and Outlook). Database and web skills would be helpful. Individual must be extremely flexible, patient, adaptable and capable of establishing priorities and timelines.
