Job Summary

The role of Program Coordinator I (PC) ensures the efficient operation of the Nurse Anesthesia Program (NAP), and coordinates the day-to-day administrative aspects of the program in collaboration with the Program Director (PD) and Director of Clinical Education (DCE), to support the department, faculty, students, clinical coordinators, and other university and regulatory administrative offices.

The principle duties of the PC include, but are not limited to: collaborates with the PD to assure the NAP meets or exceeds all accreditation and compliance requirements; assists in the NAP’s financial management and reporting; assists with the management of the NAP didactic curriculum and course implementation; assists DCE with the management of clinical practicum (clinical site, clinical coordinators, SRNAs rotations, evaluations) and the liaison with the university credentialing department; general office management; coordinates NAP special events (AANA Annual Meeting, Orientations, Graduation Dinner, meetings, anesthesia review courses, etc.); and provides ongoing customer service to students, alumni, department, and the NAP constituents.

Essential Functions

Clinical Administrative Responsibilities

Maintain clinical administrative workflow by completing the following ongoing tasks:

1. Support Director of Clinical Education identified tasks in Typhon (clinical data tracking system)

including updating electronic evaluation forms, clinical site data and clinical coordinator required

compliance documents and reports as needed

2. Blackboard Learn Clinical Course Shell maintenance

3. Launch and download results of quarterly Clinical Coordinator and Clinical Site Evaluations

4. Prepare and Send Clinical Coordinator's Quarterly Clinical Preparation E-mail - (Rotation

Schedules, Planners, Objectives, and Insurance Documents)

5. Clinical Coordinator Agreements and Payments

6. Maintain & Update Clinical Coordinator Handbook

Didactic Administrative Responsibilities

Maintain didactic administrative workflow by completing the following ongoing tasks:

1. Blackboard Learn Course shell maintenance

2. Reserve rooms for lectures, exams, and meetings

3. Adjunct Faculty Contracts and E-PAF Submission

4. Student Handbook Revisions as needed

Events, Special Projects & Tasks

Complete special tasks as required:

1. Quarterly Grant Information Submissions

2. Student Registrations (AANA and NBCRNA)

3. Coordinate Annual Professional Development Career Day

4. New Student Orientation

5. Coordinate Program Graduation Dinner

6. UStore Manager Training & Set-Up of Store to receive payments for Education Verification,

CareerDay Participation, and Graduation Dinner

Office Administrative Workflow

Maintain workflow in the Nurse Anesthesia Program office by completing ongoing tasks:

1. Credit card reconciliation

2. Accounts Payable – (Travel Reimbursements, contracts, general reimbursements, and

check requests)

3. Customer Service - (Answer phone and e-mail inquiries, send correspondence)

4. Electronic filing as needed

Required Qualifications
  • Bachelor’s Degree
  • 1 year of administrative or higher education experience (internships and work study experience accepted)

Center City, Philadelphia PA/ Remote Work flexibility
