Job Description SummaryMontgomery College, Office of Student Affairs/Student Life, has need for a full-time, Event Coordinator position#S03897. The work schedule is 40 hours per week, Monday – Friday, 8:30 am – 5:00 pm, with some travel to other campus and local events. This is a non-bargaining, non-exempt, grade 23 position. Locations are at the Germantown, Rockville, and Takoma Park/Silver Spring campuses. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College.

Under supervision and/or direction, plans, coordinates, and implements events and activities on behalf of the Office of Student Life. Events and activities include but are not limited to New Student Orientation, 9/11 Commemoration, Fall and Spring Welcome Week, International Student Week, Volunteer Fair, Spring Club Rush, Student Senate Election, and the Annual Awards Banquet. Implements office and administrative processes to support student activities and participate in program operations. The incumbent also serves as back-up to the administrative aide and provides support in the day-to-day function of the office.

Contacts are generally with other staff members, students, faculty and staff to obtain information for planning student events. Also, may interact with vendors.

Duties include but are not limited to:
• Plan, coordinate, implement and manage student events and activities
• Schedule venues for events, soliciting and confirming participation from
internal and external resources
• Order food and supplies
• Maintain calendar and schedule of events
• Initiate contracts and work with vendors
• Solicit and confirming student volunteers
• Develop and initiate marketing material for events and programs; editing and
proofing correspondence
• Create and distribute correspondence to campus community relating to
events and programs
• Maintain data and provide updates to Associate Dean on events and program
status
• Train students as student leaders for New Student Orientation as well as
develops and facilitates training modules.
• Serve as back-up to administrative aides
• Perform general administrative duties
• Type and create correspondence, flyers, etc.
• Serve as initial point of contact for office, direct calls and walk-ins to
appropriate staff or departments
• Maintain calendar for scheduling of conference space; orders supplies
through various vendors; hire, train, and supervise student assistants; and
assist students.

Job Description

Required Qualifications:

  • Associate’s degree in a relevant field.
  • Minimum of three years of office management experience, including the planning and coordination of social activities for the office of an executive or college administrator. The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
  • Thorough knowledge of conducting successful events and familiarity with the five phases of successful event management: research, design, planning, coordination and evaluation.
  • Must be highly organized and detail oriented, flexible to change, proactive, collaborative, work well under pressure and meet deadlines, and results oriented working well with diverse populations.
  • Ability to write scripts, reports, timelines, advertisements, evaluations of events, briefings, letters, training materials, and other documents.
  • Ability to review contracts with agents, performers and entertainers; assist with budget preparation.
  • Ability to deal effectively and tactfully with students, faculty, administrators, staff, etc.
  • Must have excellent oral, written and interpersonal communication skills, public speaking and motivational skills.
  • PC software and office applications skills.
  • Familiarity with College policies and procedures.
  • Eligible applicants must currently be authorized to work in the United States and not require an employer visa sponsorship.


Preferred Qualifications:

  • Bachelor’s degree.


Application Process:



Salary Range: $23.62 to $30.70 (hourly). Initial salary placement is based on candidate experience and internal equity. New hires do not typically start beyond the mid-point of the range.
